What is the role of an Administrative Professional?
Administrative professional perform general clerical tasks, generally on behalf of a leader in the organization. If you are highly motivated and organized then this might just be the position for you. Day-to-day life as an administrative professional includes coordinating various calendars, taking phone calls and messages, sending emails, prepping for meetings and presentations, capturing notes in meetings, and many other related tasks.
Administrative professional are typically outgoing and friendly people who work well with leadership personality types. Strong administrative professional excel at organization, management of multiple peoples' time and expectations, and have a self-starter attitude, getting things done before others recognize the need. Administrative professionals are the main point of contact during working hours and always represent the company in a professional and “we can help” manner.
Duties and Responsibilities:
- Greet visitors and direct them appropriately, answer inquiries, and represent a welcoming, caring environment
- Organize/maintain/update client information files and databases in a confidential manner
- Manage communication including emails and phone calls
– Screen phone calls, direct calls and take messages
- Schedule evaluations, appointments, meetings, reservations and vacations
– Prepare weekly client evaluation schedules with principal
– Prepare weekly client appointment schedules for physical therapists
– Prepare “New Client” information and deliver to physical therapists
– Manage new clients/clients-on-hold/discharges
– Prepare monthly follow-up list for physical therapists
– Prepare family/client care plans and reports
– Process physical therapists’ vacation schedules
- Manage cancellations, rescheduling of appointments and notifications
- Efficient and precise calendar management
- Receive deliveries; sort and distribute incoming mail
- Maintain and order office supplies
- Administer monthly client billing
- Receive invoices and review for accuracy

- Multi-task capabilities/great at time and task management
- Good organizational skills/attention-to-detail
- Excellent customer service and phone skills/positive attitude
- Strong communications skills/ability to propose solutions to upper management
- Functions well independently/works well as part of a team/reliable
- Ability to verify all physical therapists monthly appointments
- Serve as a conduit between families and physical therapists
- Prepare and send weekly appointment schedules and monthly follow-up list to physical therapists
- Prepare family care plans/written reports and monthly client billing.
- Proficient in QuickBooks and Excel
– Bank deposits, account payables/account receivables/invoice and payroll verification
- Other tasks as deemed necessary
Compensation and Benefits:
- Position is full-time, 40 hours/week, on-site, M-F
- Compensation based on qualifications; $23-$33/hour
- Paid vacation, accrual basis
- Health Insurance: If desired by the employee, the company will pay 50% of the employee premium. Coverage begins on the first of the month following the start date of employment. (32 hours per week minimum to qualify)
- Dental Insurance: Company pays 100% of employee premium. (32 hours per week minimum to qualify}
- Retirement Plan: Company matches 100% of employee contribution up to 3% of compensation. Implemented according to Simple IRA plan documents. (32 hours per week minimum)
