JOB DUTIES:
The F&B Administrative Assistant will mainly be assisting management with a variety of tasks and clerical projects. You will be responsible for running reports, scheduling, and managing policy/procedural paperwork. This position is best fit for an energetic, team player that is looking to grow within the hospitality industry.
RESPONSIBILITIES:
- Ensure uniform and personal appearance are clean, professional, and in accordance with the Grooming Standard.
- Be punctual for all scheduled shifts.
- Engage with customers in a friendly manner.
- General office management.
- Handle incoming calls and emails from Members and Guests and provide prompt follow through and response.
- Provide administrative support to the Director of Food & Beverage.
- Provide F&B leadership support on paperwork processing such as: performance reviews due, new hire/termed associate paperwork, appointments, messages, spreadsheets, files.
- Prepare all required paperwork, including forms, reports and schedules in an organized and timely manner.
- Use email, the Bluejack National website, the Pacesetter application, the Zingle application, as well as the Jonas Club Management Software as effective tools for accurate and real-time information and communication.
- Assist in booking F&B requests and reservations.
- Work with Member Services to coordinate general functions.
- Follow & adhere to opening and closing procedures developed for the F&B Administrative Assistant position in Food & Beverage.
- Responsible for maintaining all standard operating procedures.
- Responsible for communicating any maintenance and repair needs to the F&B Manager or Director of Member Services.
- Maintain a high level of hospitality and professionalism with each team member and guest.
- Maintain open communication in regard to conflict resolution with co-workers.
- Handle member problems and complaints as professionally as possible or refer to the Director of Food & Beverage for support.
- Ability to apply analytical and problem-solving skills.
- Maintain confidentiality of proprietary information and protect company assets.
- Attend all relevant operational meetings.
- Assist with any other job-related duties or special projects as assigned by management.
APPROXIMATE SCHEDULE AND HOURS:
Work schedule will be based upon business needs & may include weekdays, weekends and Holidays on-site.
JOB REQUIREMENTS:
- Requires high degree of administrative ability, especially in terms of problem solving and attention to detail.
- Skilled in interpersonal communications and organization.
- Highly organized with the ability to work independently as well as with a team.
- Computer literate, fluent in Microsoft Office and Outlook, including word processing and spreadsheet applications.
- Hotel / Resort experience a plus.
PHYSICAL JOB REQUIREMENTS:
- Lifting/Pushing/Pulling/Carrying/ Bending/Kneeling
- Requires office and computer time, can be long periods at a desk.
- Should be able to lift and carry up to 25 lbs.
