Overview of Position:
Provide high-level administrative support by preparing reports, and handling information requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meeting
Summary of Duties:
Assists CEO in time management and calendar scheduling, including day-to-day and long-term management of meetings, projects, and priorities
Maintains high level of discretion and confidentiality for legal and executive matters.
Ensures executive is prepared for upcoming appointments
Schedule and confirm appointments for clients, customers, or supervisors.
Schedules all meetings and travel, including prioritizing meetings and communicating all relevant details to participants
Balances conflicting priorities to manage workflow, ensure the completion of essential projects and meet critical deadlines
Handles phone, email and postal mail inquiries and respond appropriately and maintaining confidentiality
Recommends, creates, and implements and maintains improved administrative systems, procedures and processes including electronic and paper-based filing systems
Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports.
Use computers for various applications, such as database management or word processing.
Operate electronic mail systems and coordinate the flow of information, internally or with other organizations.
Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals or direct them to the appropriate people.
Work Experience
Requirement:
At least 5 years of experience
Post secondary education may substitute for years of required
experience
Education Requirement
High School or GED minimum

Proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting

Ability to interface with people at all levels of the Company and to interface effectively with outside companies
Skilled in all aspects of planning and project management/ able to take an idea from concept to completion
Excellent proficiency with Microsoft Office applications, especially
Word and PowerPoint and formatting in each
Knowledge of proper document design and execution, e.g., report formatting, business letters
