We are a father-daughter team of certified specialists in Estate Planning, Trust & Probate.
The field of estate planning and trusts is complex, dynamic, and most importantly relationship focused. We provide individualized services to each client and are seeking a pro-active and independent administrative assistant who wants to participate very directly in this service. You will speak directly to clients on day one.
We are located in a quiet, friendly, and upscale building in the Financial District. Our office building is located two blocks from the Montgomery Street BART/MUNI exit.
While previous experience in a law firm environment is a plus, it is certainly not required.
Required Skills:
- Must be an excellent writer and careful reader with a related educational background or work experience that regularly exercised these skills
- Must have good communication skills
- Must have the ability to make Microsoft Outlook, Microsoft Word, and Microsoft Excel bend to your will
- Must be proficient in Adobe Acrobat
- Must be self-organized
- Must be able to multi-task
- Must be able to work and problem solve independently
- Must have a thirst for knowledge
Duties:
- Scanning all documents and files received in hardcopy
- Maintaining hardcopy and digital client files
- Communicating with potential clients, running conflicts checks, and onboarding new clients
- Entering information into the firm’s practice management software (Practice Panther)
- Teaching clients how to use the client portal
- Maintaining/managing/cultivating relationships with existing clients
- Drafting correspondence, editing, word processing, and taking dictation for longer e-mails and letters (one of your lawyers is a hunt-and-peck typist)
- Preparing standardized legal forms
- Assembling client estate planning documents and court documents
- Hardcopy filing and e-filing in Bay Area Superior court
- Recording documents with various Bay Area recorder offices
- Working with vendors including document assembly services, couriers, appraisers, accountants, etc.
- Tracking client and firm expenses

Compensation:
$19 - $35 per hour, commensurate with experience
Please note that this is an in-office job Monday through Friday. All team members are required to be fully COVID-19 vaccinated and boosted.
