We are seeking a professional and organized Receptionist to join our team. As a Receptionist, you will be the first point of contact for our company, providing excellent customer service and administrative support. Your role will be crucial in creating a positive and welcoming environment for our clients and visitors.
Responsibilities:
- Greet and welcome visitors in a friendly and professional manner
- Answer, screen, and forward incoming phone calls
- Provide accurate information to callers or direct them to the appropriate person
- Schedule appointments and maintain appointment calendars
- Perform data entry tasks and maintain accurate records
- Manage office supplies and inventory
- Assist with administrative tasks such as filing, photocopying, and scanning documents
- Handle incoming and outgoing mail and packages
- Ensure reception area is tidy and presentable
Skills:
- Proven experience as a Receptionist or in a similar role
- Excellent customer service skills with a friendly and professional demeanor
- Strong organizational skills with the ability to multitask effectively
- Proficient in using office management software such as QuickBooks
- Attention to detail for proofreading documents and maintaining accuracy in records
- Familiarity with phone systems and ability to handle multiple phone lines
- Ability to transcribe information accurately
- Knowledge of computerized systems for managing appointments
