The Senior Associate Registrar for Student Information Services and Reporting is responsible for the maintenance and enhancement of all student information systems’ processes and business workflows. As part of the Office of Registrar’s leadership team, this position provides technical and analytical support to the Office with a particular emphasis on data integrity, reporting, best practices, process streamlining, training, and documentation, and ensures that all student information systems are properly maintained and disseminated in compliance with related university, state, federal regulations and policies, and accrediting standards.
- Responsible for the implementation, integration, and maintenance and testing of new and current technologies.
- Work to streamline, improve and document all new and current SIS processes and procedures, including but not limited to Ellucian’s Colleague application, Hyland’s OnBase document imaging system, AdAstra’s scheduling system and in-house reporting applications.
- Ensure all student enrollment data is properly prepared and disseminated to the National Student Clearinghouse (NSC), NSLDS (DOE) and Veterans Administration (VA).
- Manage Academic Standing module and support the University Registrar with all training and communications associated with end of term processing.
- Oversee online services for faculty and students, specifically using Ellucian’s Self-Service. Responsible for system maintenance and the building of registry-eligible users for site access.
- Maintain registration parameters; create registration user groups; create rules for student online registration eligibility, and troubleshoot online registration access problems.
- Responsible for integrating and improving functionality and reporting capabilities between AdAstra scheduling software and Colleague’s SIS environment.
- Responsible for testing, troubleshooting and problem-solving system difficulties and/or opportunities.
- Responsible for working with ITS to develop testing plans for system upgrades and the implementation of system software. Monitor the progression of these projects.
- Responsible for all ad hoc report requests from the Office of the Registrar.
- Design regularly scheduled reports to communicate data changes effectively with Student Financial Services and Admissions.
- Produce custom data reports as determined by the University Registrar and work with departments/deans to remedy problems with reporting and correction of other data inconsistencies identified during in-house reporting.
- Work with Information Technology Services (ITS), the Office of Institutional Research and Assessment (OIRA) and the Admissions Office to ensure the the data integrity of the SIS system; perform problem analysis and work with these departments in the editing, analysis and reporting of student data cleanup and as appropriate, the development of checks/balances (exception reports/scheduled jobs) with the escalated assistance of ITS.
- Provide and assist in the training, testing and documentation of new business process solutions and enhancements for new and current Registrar’s Office staff.
- Develop e-forms and online workflows using Hyland’s OnBase imaging system to streamline administrative processes within the MCPHS community.
- Supervise Assistant Registrar, Compliance and ensure policies and regulations are adhered to.
- Supervise Associate Registrar, Registration and Scheduling Services and ensure all room scheduling needs are met.
- Work with the Office of the Registrar team to develop department objectives, goals, and priorities, and short-and-long range planning to guide efficient and effective operations.
- Represent the Office of the Registrar on official University committees as required.
- Perform other work as directed by the University Registrar.
- Requires regular travel to all University campuses (Boston, Worcester, and Manchester, NH).
- Contributes to sustaining and enhancing an inclusive working and learning environment
Required:
- Bachelor’s Degree, preferably in Business Administration/Information Systems or the equivalent combination of education and experience.
- 3+ years of administrative experience in higher education setting; preferably in a registrar, financial aid or admissions office.
- Experience supervising and directing the work of direct reports
- Familiarity with Colleague SIS
- Excellent communication and interpersonal skills
- Valid driver’s license
- Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.
Preferred:
- Master’s Degree in a related field.
- Experience with Databases and proficient with MS Excel.
- Experience working in a SQL environment, using Ellucian Colleague, Hyland OnBase Document Imaging, AdAstra Scheduling, and Smartsheet.
- Experience creating department goals to meet the strategic plan of the department.
- Project management certification.
- Experience developing and implementing training programs for personnel.

- Standing, sitting, manual dexterity, ability to move between offices and floors of buildings
- Ability to meet deadlines and perform well under pressure
- Ability to be physically in attendance at designated worksite during scheduled work hours and to work some evenings and weekends
- The position is eligible to work in a hybrid fashion at the supervisor’s discretion
- Normal range of vision and hearing (with or without correction)
- Ability to lift up to 5-10 lbs.
