Position Summary
We are seeking a highly motivated and organized Receptionist/Office Coordinator to join our team. The successful candidate will be the first point of contact for visitors and callers, ensuring a positive and welcoming experience. This role also involves providing administrative support to the office, ensuring smooth operations, and assisting various departments on a daily basis.
Key Responsibilities
Reception Duties

Greet and welcome visitors in a professional and friendly manner

Manage the front desk, answer and direct phone calls, and handle inquiries promptly
-
Maintain a tidy and organized reception area
-
Ensure kitchen/breakrooms and meeting spaces are clean and stocked with supplies
- Food/snack/coffee ordering for kitchen area
Administrative Support
-
Provide direct administrative support to ELT, including expense reports, driver expenses, filing support (non-HR), and office supply management (ordering, tracking, etc.)

Manage and provide vendor support for office related services, including janitorial services, vending services, and office equipment
-
Prepare and send company-wide communications
-
Prepare, coordinate, and book guest and employee travel accommodations
-
Handle incoming and outgoing mail and packages
-
Maintain office supplies inventory and place orders as necessary
-
Provide administrative support to the executive team and other departments
-
Maintain Company phone list
-
Additional duties and support, as needed
Office Coordination
-
Ensure office equipment is properly maintained and serviced
-
Coordinate office maintenance and repair activities
-
Assist in organizing company events and meetings
-
Support the onboarding process for new employees, including preparing workspaces and necessary documentation
Qualifications
Education
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred
Experience
- Minimum of 2 years of experience in a receptionist or office coordinator role, preferably within a corporate environment
Skills

Exceptional verbal and written communication skills

Strong organizational and multitasking abilities

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to work independently and as part of a team

Detail-oriented with a high level of accuracy

Physical Requirements
- Ability to move freely around the office to assist visitors and staff, and to retrieve and distribute mail, supplies, and other materials

Ability to remain seated or standing for extended periods while performing front office duties

Proficient in using office equipment such as telephones, computers, printers, and photocopiers

Ability to lift and carry office supplies, packages, and materials weighing up to 25 pounds
-
Able to communicate effectively with visitors, callers, and colleagues

Occasional bending, kneeling, and reaching to access supplies, storage areas, and office equipment

Physical Requirements
The majority of the job function is performed in an office setting requiring normal safety precautions, but the job will also require from time to time to visit the production floor and in the warehouse.
