We are seeking a detail-oriented and proactive Office Coordinator to manage a variety of human resources, payroll, and other administrative tasks. The ideal candidate will excel in organizing office operations and ensuring smooth day-to-day operations.
Responsibilities
- Route incoming calls
- Manage new hire onboarding process, including setting up emails, provisioning iPads, and ensuring necessary tech equipment is available
- Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff
- Performs weekly payroll (ADP) for both union and non-union employees
- HRIS management within ADP
- Coordinate the ordering and maintenance of office supplies, ensuring adequate stock levels and cost-effectiveness
- Organize company outings and events for both employees and clients
- Manager corporate housing and hotel bookings for out-of-state business travel
- Ensure timely renewal of licensing and certifications required by state, city, and county regulations
- Assist in managing Project Certificates of Insurance (COIs) and related documentation
- Set up job folders and maintain organizational standards for project documentation
- Manage company apparel orders and distribution
- Support marketing efforts by assisting with social media posts on LinkedIn and other platforms.
- Serve as the main point of contact for website redesign projects
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field required.
- 2 years' experience in office coordination and/or human resource management.
- Payroll experience (preferably with ADP)
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Proficiency in using IT tools and software, including familiarity with iPads, office productivity suites, and online platforms.
- Excellent communication skills, both verbal and written.
- Ability to handle confidential information with discretion.
- Experience in managing vendor relationships and negotiating contracts.
- Familiarity with social media platforms and basic marketing principles.
- Detail-oriented and proactive in problem-solving.
