Job description
Assist in routine purchase of supplies, equipment and services by using established procedures and following guidelines to perform related duties while reconciling and auditing processes and submissions by vendors and site staff. Coordinate various maintenance processes as directed.
Essential Duties
Assists in preparing and obtaining quotations, processing requisitions, issuing purchase orders and processes invoices for review and approval. Reviews bid proposal packets for completeness prior to submission. Ensures compliance with company policies, procedures, internal controls and local regulations.
- Personal contact with residents for service request needs and follow up
- Keep track of work orders and Preventative Maintenance (PMs)
- Process PO's and invoices as assigned
- Follow up on status of PO's and invoices
- Provide general administrative support to members of the leadership team
- Assist in and/or execute special projects as assigned
- Answer calls, provide information, take messages, forward calls, schedule appointments
- File and maintain maintenance and capital project records
- Coordinate with subcontractors and service providers
- Other duties as assigned

Physical and Mental
Must be organized, detail oriented and also have the ability to follow directions explicitly, with persistence in reaching the goals/deadlines. Must have excellent communication and collaboration skills. Proactive and flexible. Ability to sit for extended periods of time and work independently. Must have excellent PC skills including Excel, Word, and Outlook. Ability to create, read and analyze spread sheets of statistical data. Ability to make independent decisions and effectively formulate and communicate ideas.
