OVERVIEW
We are looking for someone who is bilingual - English / Spanish. This person must be dependable, capable, and resourceful - someone who we can really rely on with high level of maturity and independent responsibility - all within the capacity of the administrative role - and who is flexible if travel is required - whether it be domestic or international.
RESPONSIBILITIES
- Provide administrative support to ensure efficient operation of the organization
- Answer and direct phone calls, take messages, and respond to inquiries
- Manage calendars, schedule appointments, and coordinate meetings and conferences
- Prepare and distribute correspondence, memos, letters, faxes, and forms
- Maintain electronic and hard copy filing systems
- Perform data entry and update databases
- Assist in the preparation of regularly scheduled reports
- Assist with supply and inventory management
- Book travel arrangements and accommodations
- Arrange for catering and refreshments for meetings
- Coordinate and execute event planning activities
- Handle incoming and outgoing correspondence using DocuSign
- Ability to perform research when needed - and to thoroughly gather quality - practical information
QUALIFICATIONS
- Proven experience in a receptionist or administrative role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong typing and data entry skills
- Excellent organizational and time management abilities
- Knowledge of general office procedures and equipment
- Knowledge of clerical procedures and office management systems
- Ability to proofread documents for accuracy and completeness
- Independently driven person who does not need to be monitored
- Attention to detail and problem-solving skills
- Ability to maintain confidentiality and professionalism
- Exceptional phone etiquette and communication skills
- Bilingual English and Spanish

- If an important client called and it happens to be at 7:00pm EST you would 'not' pick up - simply because it's past 5pm or you would pick up - no problem?
