POSITION: Project Manager Coordinator

REPORTS TO: Project Manager
JOB PURPOSE: The Project Management Coordinator supports the day-to-day duties of the Project Management team and tasks related to our iconic projects. This is an entry level, hourly compensated opportunity to apply your skills to get on a career track to Project Management in our museum studio business.
This position is a career track to a Project Management position.
Work and learn with some of the best Senior Project Managers in the Museum/Construction industry, Monday- Friday, in office, 8:00am-5:00pm.

PRIMARY DUTIES AND RESPONSIBILITIES
General Administrative
Prepare correspondence
Maintain calendars, this includes traveling employees
Manage documents that require approval
Screen telephone calls, emails, and mail as appropriate
Attend conference/project meetings
Maintain, schedule and coordinate travel arrangements for department
Project Planning
Understand the scope of the project with the Project Manager, ask questions
Help prepare the detailed work plan, created by the Project Manager
Assist in determining the resources required to complete the project
Assist in developing a schedule for project completion
Monitor, revise and maintain the project schedule as required
Project Implementation
Support the Project Manager and team in executing the project according to the project plan and timetable
Document activities as required
Establish communication schedule with Project Manager and other stakeholders to obtain regular updates
Attend periodic internal meetings with support staff to review and understand progress
Maintain constant communication with the project team on a regular basis to help ensure the project is meeting requirements and standards
Project Day-to-Day
Assist in monitoring approval of budget and expenditures
Track and distribute drawings and work orders
Process transmittals and submittals
Ensure that actions comply with company policies and procedures
Assist with project documentation
Act as liaison between Project Manager and client as needed
Process other tasks assigned by the Project Manager
QUALIFICATIONS
Required
Demonstrates professionalism and excellent customer service and follow up to clients.
Strong organizational, detail and analytical skills
Communication and interpersonal skills – written and verbal
Ability to work both independently and collaboratively with the team
Willingness to learn and support project management within the museum business.
Skill set in Microsoft Office Suite including Excel, Outlook, and Word
A Plus
Experience and background in related industry (exhibit manufacturing, construction, fabrication, architects, or designers)
Experience with Microsoft Project and/or ProCore
Bachelor’s degree in related field
Passion and Interest in the Museum business, history and/or Arts.
