As the Executive Assistant to the COO and CEO, you will be the COO's primary liaison and interact directly with the CEO. Your role is crucial in managing their time and activities effectively. Key Responsibilities:
- Calendar Management: Maintain and organize the CEO/COO's calendar, schedule meetings, and coordinate travel arrangements.
- Communication: Handle incoming and outgoing communications, including emails, phone calls, and correspondence. Prioritize and respond as needed on behalf of the CEO/COO.
- Meeting Coordination: Prepare agendas, materials, and minutes for meetings. Ensure follow-up on action items and decisions.
- Project Support: Assist with various projects, including research, data analysis, and report preparation.
- COO Office Management: Oversee the COO office's day-to-day operations, ensuring a smooth and efficient work environment.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality.
- Relationship Management: Liaise with internal and external stakeholders, including leadership team, internal managers, clients, and partners.
- Documentation: Prepare and edit documents, presentations, and reports with a high level of accuracy and professionalism.
- Event Planning: Organize and coordinate small team meeting events, and luncheons as required.
- Administrative Tasks: Perform other administrative duties as needed to support the CEO/COO.
- EOS Implementation Support: Assist the CEO/COO as an assistant to the EOS Implementer, including managing tasks, tracking progress, and ensuring alignment with EOS principles and processes.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field preferred or equipment executive assistance experience.
- Proven experience as an Executive Assistant or in a similar administrative role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
- Ability to multitask and prioritize effectively in a fast-paced environment.
- High level of professionalism, discretion, and confidentiality.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
- Familiarity with EOS (Entrepreneurial Operating System) principles and practices is a plus.
