The Office Manager is responsible for overseeing the administrative activities that facilitate the smooth running of all DG offices, ensuring high levels of organizational effectiveness, communication, and safety. This role requires a proactive individual who can manage various tasks simultaneously, prioritize effectively, and foster a positive work environment ensuring the firm’s core deliverables - Service, Quality and Culture – are upheld daily.
Administrative Management:

Manage office operations and procedures to ensure organizational effectiveness and efficiency.

Develop and implement administrative systems, policies, and procedures.

Oversee the maintenance of office equipment and supplies, ensuring necessary items are stocked.
Accounting functions:
-
Managing office budgets and expenses.
-
Oversee wire, invoice, and billing approvals.
-
Bookkeeper preparation and various trust accounting functions.
Human Resources Support:

Assist in the recruitment process by posting job openings, scheduling interviews, and onboarding new employees.

Maintain employee records and handle HR-related inquiries.

Coordinate employee benefits, including health insurance, retirement plans, and employee wellness programs.

Foster a positive work environment by organizing team-building activities and events.
Facilities & Vendor Management:

Ensure the office premises are clean, safe, and well-maintained.

Coordinate repairs and maintenance of office facilities and equipment.

Manage relationships with landlords, vendors, suppliers, and service providers.
-
Maintains inventory of office supplies; orders new supplies as needed.
Communication and Coordination:

Serve as the point of contact for internal and external stakeholders, including clients, vendors, and visitors.

Coordinate meetings, conferences, and travel arrangements as needed.

Distribute internal communications and announcements.
Marketing Support:

Overseeing the firm’s social media platforms, calendars and coordinating content internally

Liaison between the firm and outsourced marketing vendors such as website, social media, print materials and promotional items.

Managing and planning client and networking events.

Supporting practices and attorneys with various marketing support tasks.
Record Keeping and Documentation:

Maintain accurate records, files, and databases, both physical and electronic.

Prepare reports, presentations, and documents as needed.

Ensure compliance with relevant regulations and laws.
Performs other related duties as assigned

Oversees the daily work activities of the offices

Monitors the work of administration staff, including managing calendars, schedules and timecards.

May handle or assist with disciplinary and termination of employees

Extensive knowledge of office management procedures.

High school diploma or equivalent required; Associates degree in office administration or related field preferred.

At least five years of administrative and clerical experience required.

Any combination of experience and education will be considered.

Must be able to lift up to 15 pounds at times.

Must be available and able to travel between the firm's office locations regularly.

Full (40 hours per week) and Part-time (up to 30 hours per week) applicants will be considered for this position.
