Job Descriptions:
The administrative assistants handle general office tasks and administrative duties, such as organizing schedules and events, entering data, bookkeeping, maintaining office equipment and so on.
In addition, the accounting administrative assistant performs the role of managing accounting and administrative tasks for management.
Support the income tax preparation process:
- Tax Preparation (initially with Form 1040 then will escalate to other tax forms such as Form 1120-S, Form 1065, etc.)
- Managing tax software, Intuit Pro Series
- Managing internal software relating to preparations, tracking and status of tax preparation for clients
Key tax performance goals: accurately track documents and prepare income tax returns with minimum clerical errors and complete them in a timely fashion.
Responsibilities:
- Manage and organize meeting schedules using Outlook calendar
- Answer work phone, scan documents, and e-file paperwork in designated Client Folders in ShareFile
- Completing tax preparation procedures
- Handling sensitive or confidential information with honesty and integrity
- Maintain client records and ensure that they are up to date in CRM and ShareFile
- Perform various tasks including but not limited to related to billing and payroll, reconciled accounting statements, bookkeeping, and data entry
- Learning how to work as part of the team to compile and analyze data, track information, and support the company or clients
- Taking on additional tasks or projects to learn more about accounting, tax, and office operations.
- Administrative tasks could include driving to the post office, client sites, and/or stores for job-related tasks.
Skills & Qualifications:
- College diploma or equivalent, preferred
- Experience with MS 365, ShareFile and ProSeries (preferred but not required)
- Strong multitasking and organizational skills
- Strong verbal and written communication skills
- High level of efficiency, accuracy, and responsibility
Job Type: Part-time
Pay: $25.00 - $32.00 per hour
Expected hours: 20 – 30 per week
