Job Overview:
We are seeking a skilled Legal Assistant who will serve mostly as an Intake Specialist to join our team. The Specialist will assist the attorneys at the highest level and serve as an integral part of the intake process for potential clients. Once the clients are onboard, you will also assist the attorneys procedural documents.
We have systems set for this and immediate onboarding with training is available. However, to be best suitable a candidate should be aware of Application Programming Interface (API) which will allow for seamless use of our systems in place to work together and handle potential clients and their data. This requires an understanding of API and the following systems: (1) Lex Reception (2) Setmore calendaring (3) Lawmatics (4) Zapier, (5) calendar migration between systems with Outlook Calendar. Familiarity with Westlaw Edge and AI research tools is also highly desired. The right self-starter can learn these systems, but experience in at least some of these some of these areas is preferred.
There may be other systems added for the candidate to learn, such as legal billing. The candidate must be a self-starter and take the initiative to learn the software programs and how the systems interface to facilitate accurate completion of tasks. The goal is quick and efficient intake of potential new customers and ongoing outstanding service to our clients.
The ideal candidate will also have knowledge about marketing with social media and the skills to help Domestic Violence Legal Center build and maintain a strong presence with social media. Familiarity with Instagram, Facebook, TikTok, You Tube, and LinkedIn, in a business platform, is preferred.
Knowledge of legal procedures and terminology, desire to know the law, ability to work with integrated software systems, and the adaptability to support attorneys to enhance office effectiveness is our goal with this position. Duties:
- Learn Lawmatics and be the person that takes initial calls to the firm. Initiate all intake forms and oversee correct intake paperwork
-Assist attorneys in preparing legal documents such as briefs, pleadings, appeals, contracts, and real estate closing statements
- Conduct legal research on various topics and compile data for cases
- Maintain and organize physical and electronic files using document management systems
- Transcribe legal documents and correspondence
- Communicate with clients, witnesses, and court personnel
- Manage attorney calendars, including scheduling appointments, court dates, and meetings
- Prepare materials for trial or hearings
- Handle administrative tasks such as billing clients and tracking billable hours
-Serve as transcriptionist
-Edit, or help make social media posts as needed
Experience:
- Previous experience in a law firm or legal department preferred
-Experience with Zapier and Lawmatics is highly preferred
-Experience with Sharepoint, Microsoft Teams, Clio (formerly Lawyaw): California Judicial Council Forms, Linktree, and social media marketing is a plus
- Knowledge of workers' compensation law, immigration law, patent law, or tribal law regulations is a plus
- Proficiency in writing legal documents with attention to detail
-In depth familiarity with Excel
- Familiarity with project management principles for organizing tasks efficiently
- Ability to conduct legal research effectively and summarize findings
- Experience with transcribing legal documents accurately
