Essential Job Functions:
1. Manages day to day operations of a property. These duties include but are not limited to the following:
a. Operate the property office in a professional, clean, uncluttered and well-staffed manner.
b. Inspect property on a regular basis and verifies condition of vacant apartments.
c. Maintain office and resident files in a confidential and secure manner.
d. Communicate with the Director of Maintenance and other service team regarding all aspects of property maintenance.
e. Ensure all monies received on the property are deposited immediately and recorded on a daily basis and confirm all proper bookkeeping procedures are followed.
f. Compile weekly/monthly property status reports.
g. Coordinates orientation and ongoing training programs for the property staff working with the Regional Manager and Director of Maintenance as necessary.
h. Require all team members to be friendly, open and available to the residents and co-workers while discouraging fraternization.
2. Create, maintain and encourage excellent resident relations by all members of the team. This includes but is not limited to the following:
a. Promptly respond to resident concerns, comments and/or complaints.
b. Require all team members to be friendly, open and available to the residents while maintaining the policy of non-fraternization.
c. Ensure that the proper move in paperwork, keys and remotes are prepared for a new resident.
d. Inspect make ready apartments prior to move in.
e. Maintain and/or create a resident renewal program to encourage resident retention.
f. Create a sense of community at the property.
1. Manage the maintenance of the property with the assistance of the service team. These duties include but are not limited to the following:
a. Daily monitoring of the service staff and their duties.
b. Monitor and inspect market ready apartments to ensure quick turn times and are completed.
c. Maintain compliance with all required permits for operating the property such as; pool, spa, elevator, etc.
d. Monitor electric, water and gas usage on the property.
2. Maintain and manage all financial responsibilities on the property. These include but are not limited to the following:
a. Review weekly general ledgers for expenses.
b. Enter and monitor purchase orders
c. Review Income Variance Report (with purchase orders) daily.
d. Approve and submit invoices for payment in a timely manner.
e. Complete variance reports and other weekly reports.
f. Maintain contract files and insurance certificates on the property and monitor the renewal dates of these contracts.
3. Manage and monitor all rental collection on the property. These include but are not limited to the following:
a. Ensure all rent and other charges are collected when due and posted in a timely basis by close of business same day.
b. Ensure that the proper legal notices are given and deadlines met concerning filing eviction, filing writs and attending court hearings.
c. Ensure compliance with Community Policies and lease agreements. Respond to violations and communicate with the residents.
d. Assess move out condition of apartments and have a final account statement sent with the final disposition.
e. Immediately inform and refer any liability claims, legal complaints or other violations to the Regional Manager and/or corporate office.
f. Review delinquency and ensure notes are entered.
g. Deliver all required notices in a timely manner.
4. Responsible for all personnel issues on the property. This includes but is not limited to the following:
a. Hire, counsel, and terminate employees with the assistance of the Regional Manager and the HR department in accordance with company policies.
b. Complete performance reviews of employees and assist with making recommendations for salary increases and/or advancement.
c. Approve and submit all paperwork, employee overtime timely for semi-monthly payroll.
d. Calculate commission bonus amounts and submit timely for approval.
5. Responsible for all Safety on the property. This includes but is not limited to the following:
a. Ensure new employees receive orientation safety training.
b. Coordinate with the Director of Maintenance and attend monthly safety meetings and training for property staff; monitor the use of proper safety precautions on the property.
Report any workman’s compensation issues and/or employee incidents immediately to the Workers Compensation Carrier and to management and HR following company procedures monitor all aspects of marketing for the property. This includes but is not limited to the following:
a. Know the sub-market of the property. Be familiar with the competing properties and their rents, specials, occupancy, and their management company. Keep current on businesses and retail nearby, hiring trends, new construction and any other aspects of the sub-market and overall market that could impact occupancy and/or income of the property.
b. Complete the marketing surveys.
c. Supervise the leasing team and closing techniques.
Perform all Essential Job Functions on the “Leasing Consultant” job descriptions.
Physical Requirements:
1. Will need to be on feet (33% to 100%).

Store supplies, inspect property.

Typing, writing, operate office equipment, unlocking doors, handling packages and supplies.
3. Lifting/carrying (supplies, resident packages, files, etc.)
Over 50 lbs.

NOTE: Lifting and carrying of weights exceeding 50 lbs. is often accomplished with assistance from one or more persons. Examples of heaviest items lifted include cases of paper, heavy resident packages and cases of soda/water. Wear Personal Protective Gear such as provided back brace, when necessary.
Vision Requirements:
1. Constant need (50% to100%) to read and review reports, view computer screen, complete forms, and enter data.
2. Constant need ((50% to 100%) to see things clearly beyond arm’s reach.
3. Frequent need (33% to 50%) to see small detail.
Speaking, Hearing and Written Requirements:
1. Constant need (50% to 100%) to receive instructions from residential management, communicate via telephone and in person with staff, residents, vendors, etc., for the purpose of receiving information and or direction.
2. Constant need (50% to 100%) to communicate either in writing or typing to residents, staff, vendors, corporate and prospects.
3. Must speak English and Spanish.
Driving Requirements:
1. Constant need (50% to 100%) to utilize personal transportation to drive between property locations, make deposits, and view/inspect other apartment communities, etc.
2. Occasional need (1% to 33%) to respond to after hour emergencies.
3. Must maintain valid driver’s license and car registration and maintain proper automobile insurance if driving a vehicle for business purposes.
Working Environment:
1. Constantly indoors (50% to 100%).
2. Frequently outdoors (33% to 50%) during all weather conditions to inspect the property.
3. Occasional exposure to paint fumes, solvents adhesives, etc. (1% to 33%). Example – apartment immediately during or after turnover. Employee must wear Personal Protective Equipment, when necessary.
4. Rare occasions work under stressful and adverse conditions. Example – open and maintain office during or after a fire, hurricane or other disaster.
Computer Skills
1. Must possess excellent computer skills with advanced knowledge of Word, Excel, Outlook, and Social Media sites.
2. Familiar with and have worked on industry standard programs such as OneSite, or other such programs.
