Executive Assistant (Part-Time)

Starting Pay $19-23/ hour
Reports To 3603 Executive Director

About the Role
The Executive Assistant is responsible for providing high‐level administrative support for one or more executive leaders or departments. This includes keeping the executive’s communications (e.g., emails, phone calls and messages, etc.) organized by priority, managing the executive’s daily schedule, and coordinating meeting and travel logistics. The Executive Assistant is often the face and voice of LADD’s CEO and as such must embody LADD’s mission, vision and values
Department & Purpose- Executive
Responsible for providing clerical and customer support to individuals, and teams within the organization; maintains well‐organized, efficient, and effective office and administrative processes and procedures
Essential Functions
- Supports the executive(s) and/or affiliated department with routine tasks and special projects
- Supports Boards and Board Committees for information request and support
- Act as point of contact between executive(s), board members and others
- Provides administrative assistance, such as writing and editing communications (such as emails, letters, etc.), taking meeting minutes or back up administrative duties for affiliated departments.
- Maintains comprehensive and accurate electronic and physical records and files for Executive
- Organizes meetings, including scheduling, sending reminders, and other meeting/location logistics including travel arrangements for Executive and affiliated department
- Answers phone calls and welcomes and directs visitors as necessary
- Manages executive’s calendar, including making appointments and prioritizing the most important matters
- Prepares expense reports for Executive
- Prepares and submits invoices for Executive and/or affiliated department
- Provides administrative support as needed to affiliated department
- Maintains high level of confidentiality and handles sensitive information with appropriate discretion
- Models The LADD Way (TLW) and ensures performance is aligned with TLW and the solicitation policies and practices set for the department
- Represent LADD in a positive manner as appropriate
- Keeps up‐to‐date on all relevant training and certifications
- Requires a valid driver's license and reliable transportation
Additional Responsibilities
- Serves as an advocate for the organization’s mission and programs in the community
- Assists with special events as necessary
- May train and/or supervise other administrative staff as needed
- Maintains appropriate inventory of office/administrative supplies
Education/ Skills & Experience
- High school diploma or equivalent required
- Minimum of 5 years of administrative experience and some supervisory experience
- Exceptional attention to detail, highly organized, ability to prioritize and keep track of multiple projects, and meet deadlines
- Excellent verbal and written communication skills
- Excellent computer knowledge and skills using relevant software and application platforms
Work Environment and Physical Demands
- Work schedule will normally be Monday through Friday and may include weekends and/or evenings
- Job will include being in an office environment and may require travel to other locations
- May require one to be able to safely navigate stairs
- May require one to be able to life 25 pounds.
