Office Manager, Part-Time

The Office Manager is a part-time, in person role that will have a variety of office duties including the virtual support for Waypoint's North Carolina branch. Ultimately, the Office Manager should be able to ensure the smooth running of our office, ensure adherence to organization policy and improve organization procedures especially day-to-day operations. There is flexibility with the work schedule including the days of the week/hours per day.
Key Responsibilities:
Daily Office Duties:

Provide administrative support to the Waypoint office, driving organizational success through the management of daily operations and special projects. The Office Manager will support Waypoint North Carolina virtually as needed.
- Answer incoming external calls and provide exceptional customer service by using critical thinking, problem solving and/or forwarding the call to the appropriate department.

Run errands, such as to the bank, post office, shopping for supplies, etc.

Monitor, manage and maintain office equipment and supplies; request repair or restocking when necessary and interface with Cotting School Facilities for office maintenance.

Responsible for Waypoint's office appearance and cleanliness.
Operational Support:

Work collaboratively with outsourced Finance and IT firms. Duties include:

Coordinating staff/IT support issues

Organizing AP/AR documents and other tasks as needed.

Prepare weekly bank deposits and deliver to the bank for processing.

Work with our Insurance Broker to ensure that policies are accurate and up to date. Review each policy upon its renewal for accuracy and completeness.
- This includes General Liability, Worker's Comp, Inland Marine, Automobile, Disability, Directors and Officers, etc.
- Obtain and submit Certificates of Insurance when required
- Assist with vehicle Registration and Maintenance
- Assist in the maintenance of Waypoint's donor and program registration databases (Bloomerang and Jumbula)

Pull financial reporting as needed in systems

Data entry
Work Experience and Education:
-
Proven experience as an Office Manager/Administrative Assistant in a nonprofit. (2-5 years of experience preferred).

Proficiency in MS Office (MS Excel and MS Outlook, in particular).

Familiarity with email scheduling tools, like Outlook.

Familiarity with donor management a plus.

Excellent time management skills and ability to multi-task and prioritize work.

Extreme attention to detail and excellent problem-solving skills.

Excellent written and verbal communication skills.

A creative mind with an ability to suggest improvements.
Work Location and Physical Requirements:

Ability to lift and move a minimum of 10-20 pounds
- Ability to sit at a desk or computer 50% of work week or greater

Work will be done out of the Waypoint Adventure office in Lexington, MA

Availability for some evening and weekend event support may be required

Applicant must be able to commute to and from the office

Other duties as assigned.
Compensation:
-
This is a part-time, 25 hours a week role. The hourly salary range is $20-$25/hr.
