Position Title: Property Manager
Job Status: Exempt, Full-time position
Reports to: Gemeral Manager
Location: Irving TX
Position Overview - The Property Manager will maintain the property in a first-class condition. Lead and direct all personnel related to the property and oversight all operations/facilities taking guidance and direction from the General Manager. Sustain a positive tenant relations program. Minimum five years of commercial property management experience, proven leadership skills, a high level of energy and excitement, and a history of working well independently and as a team. The Property Manager also has a thorough understanding of (and ability to manage) all external functions and activities directly related to enhancing the properties' occupancy, performance, and public perception. This includes managing our efforts concerning tenant relations, marketing and leasing, project management, and vendor coordination.
Primary Accountabilities/Responsibilities:
- Supervise and administer all "deal-driven" tenant and landlord construction and CapEx projects for any given fiscal year intended to enhance or maintain occupancy. Be able to leverage the knowledge of the property to assist tenant coordination with as-built conditions, available utilities, and any known constraints. Review Tenant (or Landlord) work drawings, including MEP/FP plans, enforcing the execution of LL-approved plans during tenant build-out.
- Create, update, and manage a five-year capital plan for the property. Administer CapEx requests and annual Capital Plan (large projects) for implementation and completion on time and on budget.
- Effectively build and maintain relationships with the internal team and all external contacts, including (but not limited to) vendors, suppliers, tenants, contractors, contracted services, local authorities, local code officials, etc.
- Assist in creating, supervising, and implementing the marketing program.
- Effectively assist in managing and coordinating vendors by thoroughly understanding all applicable service or maintenance contracts. Maintain open communication with vendors through regular meetings. Ensure that our vendors incorporate VOP cultural values.
- Responsible for preparing all contracts for goods and services within the Company policies and procedures and following budgetary guidelines.
- Understand, follow, and enforce VOP policies and procedures and those included in the Property Management Agreement.
- Supervise the scheduling of all preventative maintenance, HVAC maintenance, painting, cleaning, and other maintenance that efficiently operate the property.
- Create and present the annual budget for Ownership approval and the implementation of the yearly budget.
- Oversight of the charge and collection of rent and other fees per lease agreements. Follow procedures outlined in a lease agreement for late rent collections and work with the General Manager, Corporate Accounting, and attorney to default.
- Review and analyze monthly statements, including but not limited to variance reporting and executive summaries.
- Employee training, termination, and implementation of other employment decisions for employees with direct reports following Vanderbilt's human resources policies and procedures, all by the law.
- Lead and supervise a team consisting of an Assistant Property Manager, Property Assistant, and Maintenance personnel.
- Proactively walk the property to ensure vendor services are being performed. Inspect vacant units for market readiness prior to leasing tour and move-in and inspect for damage after move-out.
- Develop and implement a plan to periodically visit the tenant base and coordinate with the General Manager's efforts.
- Assist with tenant complaints and manage public relations.
- Work with the Management Team to coordinate and execute tenant events.
- Ability to manage customer complaints and concerns. Reporting tenant concerns to the General Manager.
- Other duties as assigned.

- Ability to travel periodically as required for the position.
Requirements for Property Manager:
- Must have at least five years of experience working as a Property Manager and a minimum of 5 years of property management experience in a large commercial office building.
- At least 2-3 years of project/construction management experience.
- Knowledge of commercial building practices and systems as well as HVAC, plumbing, and electrical systems.
- Must have excellent organizational, analytical, verbal, and written communication skills.
- Proven ability to be flexible, prioritize and manage multiple projects, and solve problems promptly.
- Excel, Word, and computer skills required.
- Experience with Yardi and General Management (Realogic) software preferred.
- CPM/RPA and broker designations are a plus.
- BA or BS degree required.
- Must possess a current and valid driver's license.
