We are seeking a full-time IVF Coordinator to join our IVF coordination department. Our ideal candidate has experience working with patients in a healthcare setting, possesses excellent verbal and written communication skills, is organized, and exhibits a pleasant and professional demeanor.
While previous experience in infertility is a plus, we will train the right candidate.
JOB RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
· Meet with potential patients and review the company process, options, and expectations and cycle patients.
· Facilitate effective communication between two parties that do not speak a similar language by converting one spoken or written language to another.
· Create accounts in both EMRs for new patients that live out of the country.
· Work with financial coordinators to collect payment for international patients.
· Coordinate all infertility diagnostic tests and treatment plans between patients and physicians.
· Always maintain strict confidentiality.
· Telephone Coordinate the activities required to initiate the treatment plan, i.e., surgery, IUI, IVF, PGD, etc.
· Prepare the IVF cycle start list and provide financial and office manager updated copies.
· Prepare calendars/schedules for patients.
· Maintain patient/couple medical records, including consents and authorizations.
· Provide patient education and health teaching as appropriate, including injection technique.
· Confirm that patients/couples have appropriate medications/prescriptions and administer them if required.
· Assist physicians in providing informative and effective communication with patients/couples.
· Follow-up communication with patients/couples, i.e., test results and medication adjustments.
· File normal lab results in patients’ charts after the physician has signed & reviewed the results.
· Report abnormal results to the primary physician and IVF Nurse.
· Maintain follow-up patient log generated by NP’s seen for potential IVF patients.
· Perform routine examinations, procedures, phlebotomy, and administer medications to infertility patients.
· triage with patients regarding medication, treatment plans, and test results
· Provide patient care through ovulation induction, egg freezing, sperm analysis, IVF and oocyte donation.
· Assist with retrievals and transfers in both pre and post-op care.
· Demonstrate solid clinical expertise in all IVF procedures.
· Provide patient education on treatment protocols, medications, and infertility procedures.
· Responsible for accurate and timely communication of lab results to patients
· Responsible for constant communication between patients and physicians
· Communicate physician orders and instructions.
· Maintain patient charting, testing and flow sheets.
· Monitor and stock examination rooms with required supplies.
· Maintain a safe and clean working environment.
SECONDARY RESPONSIBILITIES
· Administer medications.
· Meet with cycling patients.
· Review instructions.
· Answer questions.
· Confirm that patients/couples have appropriate medications/prescriptions.
· Assist physicians in providing informative and effective communication with patients/couples.
· Schedule procedures, tests, and office visits.
· Pre/post-operative surgical teaching; surgery coordination
· Pre/post-operative embryo transfer instructions
· Patient phone calls, including afternoon callbacks with test results/instructions.
· Maintain accurate EMR cycle entries.
· Follow-up communication with patients/couples, i.e., test results and medication adjustments.
· File normal lab results in patients’ charts after the physician has signed & reviewed the results.
· Report abnormal results to the primary physician.
· Provide coverage for other nursing team members during vacations or illness.
· Send cards for negative pregnancy (IVF) and graduation of pregnant patients who are going to OB/GYN
· Maintain follow-up patient log generated by NP’s seen for potential IVF patients.

THIRD-PARTY (EXTRA BONUS, OPTIONAL)
· Experience in egg donation/ sperm donation or fertility-related fields
· Familiarity with the egg donation process. Have connections with egg donation agencies and egg banks (both frozen and fresh).
· Familiar with sperm donation or having connections with sperm banks or sperm donation agencies is a plus.
· Work with the sales team daily, collect donor preferences from clients/patients, search egg donor/sperm donors online or contact private third-party agencies.
· Develop and maintain relationships with third-party reproductive agencies.
PHYSICAL REQUIREMENTS
· Because the IVF Coordinator may be asked to assist in the IFC surgery center when needed, she must meet the physical requirements for those positions.
· Vision within normal limits with or without corrective lenses
· Hearing within normal limits with or without hearing aids; consideration may be given to an individual with partial hearing loss provided she can demonstrate the ability to receive, interpret and act on instructions given by a normal speaking voice.
· Normal foot/leg motor skills; consideration may be given to an individual with a leg brace or prosthesis provided she can demonstrate the ability to move smoothly and rapidly within the operating room environment and carry out the position's duties and those of circulating and scrub nurse.
· Occasionally, must be able to bend, stoop, lift, and carry loads up to 25 pounds.
· Understand and carry out all functions of the position.
· Must be able to communicate orally and in writing.
· The position is unsuitable for an individual with a physical or mental condition that subjects her to sudden lapses of consciousness and/or seizures. Consideration may be
given to individuals with such conditions provided it can be verified that the condition has been well controlled without significant occurrence for a minimum of the 24 months preceding application. If hired, such an individual shall be required to notify their supervisor immediately of any change in this condition.
POSITION REQUIREMENTS:
· 1 year of experience in a medical office setting
· Bilingual in Mandarin (must speak and write in Mandarin) - optional.
· Bilingual in Spanish (must speak and write in Spanish) - optional.
· Administrative assistance experience
· 1 year of fertility office preferred.
