The Front Desk Receptionist provides general administrative support to the Administrative Building which include duties of responding to email and phone inquiries, supporting uninterrupted coverage of building front desk and check-in procedures, supporting mail system for Admin building, and other administrative duties as assigned.
Responsibilities and Duties
- Greet visitors, support building check-in procedures, provide directions to visitor’s destinations. Provide the public with information regarding a wide range of subjects, including scheduled campus events, hours of operation, academic calendar, university closing, etc.
- Answer calls to TU main telephone line, transfer calls to appropriate extensions, provide answers to frequently asked questions, respond to emails and walk-ins.
- Receive, sort and route incoming mail and correspondence; coordinate with departments mails and package deliveries as needed; schedule Fedex and certified mail pick-up; report 1st floor work issues to work control.
- Monitor room scheduling for HR conference rooms. Assist with new hires orientation.
- Send weekly separations reports to administrative departments. Remove inactive employee from the CJIS database.
- Other duties as assigned.
Qualifications and Skills
- High school diploma, or equivalent, and two years of experience in clerical work.
- General knowledge of telecommunications equipment and service; of telephone information call handling procedures. Skill in the use of keyboards and basic communication software; in listening techniques for interpreting caller requests. Ability to speak clearly and effectively; to learn and comprehend information regarding functions of departments; to interact with callers in a pleasant and courteous manner and maintain poise under pressure.
- Strong customer service skills and the ability to communicate effectively with the public, employees, and students in courteous and respectful manner.
Except for qualifications established by law, additional related experience, and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
