Overview:
Brief Job Description (essential functions of the job):
Reporting to the Commissioner or designee, performs a wide range of highly confidential duties including special projects and logistics for conferences, meetings, appointments, etc.
This is an executive position involving the use of mature judgment, administrative ability, organizational skills, communication skills, and ability to relate, lead, and work with varying levels of the organization.

Responsibilities include, but are not limited to:

Provides a wide variety of administrative support for highly confidential and complex projects, including standard report production and the coordination of logistics for special assignments.

Uses independent judgment and initiative in managing electronic correspondence directed to the Commissioner, as well as prepares draft replies to correspondence.

As a member of the Commissioner’s Office team, supports the Executive Assistant in managing an extensive calendar of Commissioner’s meetings and appearances.
- May attend special meetings on behalf of the Commissioner.
- Plans, coordinates, assigns, and provides direction to staff in the implementation of special projects.
- Assists in conducting research in preparation for external meetings and assists with preparation and execution of high-level projects.

Responsible for all additional assignments deemed appropriate by the Commissioner or his/her designee.

Maintains records and prepares reports.
- Works with Parks & Recreation Director of Administrations & Finance regarding any special projects that may impact the annual budget.

Attends meetings on behalf of the Commissioner when required. Attends Council meetings/hearings as needed.

Performs related work as required.
Minimum Entrance Qualifications:

At least four (4) years of full-time, or equivalent part-time, experience in public or business administration, project or program management or related field, preferably in government operations.

A bachelor’s degree in a related field is preferred and may be substituted for two (2) of the required experience.

Ability to exercise good judgment and focus on detail as required by the job.

Ability to establish and maintain effective working relationships in a multi-cultural, multi-ethnic work environment and to interact with the public and City Administration.

Ability to work independently and to exercise sound independent judgment in planning, directing, and coordinating projects.

Strong oral and written communication, presentation, and problem-solving skills.

Ability to provide administrative support, including managing an extensive calendar, coordinating logistics, and preparing a variety of reports; planning and coordinating projects; and maintaing confidential information.

Proven competency in the use of related software such as Microsoft Windows and Office Suite.

Ability to work a flexible schedule to attend meetings and events on evenings and weekends as needed.
