Overview: We are seeking a compassionate and organized Front Office Staff Member to join our team at Pet Meadow . The ideal candidate will provide exceptional customer service to grieving pet owners, manage front office operations, and assist with burial directory duties during burial seasons (end of March to early November).
Job Summary
- Act as the first point of contact for families and veterinary hospitals.
- Hours: Monday through Friday between 9am to 5pm.
General Accountabilities/Duties:
- Offer genuine empathy and understanding to grieving pet owners, ensuring they feel supported and cared for during their difficult time.
- Provide clear and accurate information about the cremation process, timelines, and available services.
- Create active streams of communication with families, hospitals and partners
- Keep clients informed about the status of their pet’s cremation and any associated memorial products.
- Enters and retrieves information from company database as needed.
- Arrange and confirm appointments for witness cremations, viewings, or memorial services.
- Help families through the viewing process by providing answers to questions, reading poems, and giving compassionate support.
- Quickly address and resolve any issues or concerns that arise during the cremation process.
- Contacts families and veterinary hospitals to give and receive information.
- Create special orders and follow through appropriately when they arrive.
- Maintain detailed records of each pet’s cremation process, including documentation of client preferences and any special requests.
- Actively seek and implement client feedback to improve service offerings and client satisfaction.
- Handle billing and invoicing for cremation services and memorial products accurately and promptly as well as manage client data and service records with confidentiality and precision.
- Other duties as assigned.
- Burial Directory Duties (End of March to Early November):
- Assist with the coordination and scheduling of burial services.
- Maintain and update the burial directory, ensuring all records are accurate and current.
- Communicate with groundskeeper to ensure all arrangements are in place.
- Provide support to families during burial services, ensuring their needs are met with care and sensitivity.
Job Qualifications
- High School Diploma Required /Associates Degree (Preferred)
- Read, Write, Speak English. (Spanish speakers are greatly appreciated)
- Interpersonal and customer service skills.
- Able to convey compassion toward families.
- Send and receive email with attachments.
- Microsoft Office Skills: Word, Outlook, and Access.
- Ability to adapt to a changing environment and handle multiple priorities.
- Excellent organizational and prioritizing skills.
Physical Demands
- Must be able to sit for long periods or stand for long periods depending on task.
- Will come in contact with deceased pets.
- Ability to lift 50 pounds.
