Job Overview:
We are seeking a dynamic and experienced Director of Operations to oversee our company's daily operations and drive business growth. The ideal candidate will be a strategic thinker with strong leadership skills and a proven track record in operations management.
The Director of Operations is a qualified individual who plans and directs all aspects of an organization’s operational policies, objectives and initiatives. The Director of Operations is responsible for setting parameters to judge how effectively and efficiently the organization is operating. Leads with compliance for the agency and contractual standards. The Director of Operations is responsible for ensuring the attainment of short- and long-term financial, quality assurance, health and safety, and operational goals. Directs the development of the organization to ensure future growth. Collaborates with program managers to problem solve areas in need of change. Leads to improving the business processes for each program through analysis and collaboration. Responsible for aiding CEO with long-term business planning. Acting on behalf of the CEO for any public functions when designated by the CEO. Creates and executes program planning and development with recommendations and timelines.
Responsibilities:
- Develop and implement strategic plans to enhance operational efficiency and achieve company goals
- Lead and manage the operations team to ensure smooth day-to-day operations
- Oversee project management activities to ensure timely delivery and quality outcomes
- Collaborate with senior leadership to align operational strategies with overall business objectives
- Negotiate contracts and agreements with vendors, suppliers, and partners
- Drive process improvement initiatives to optimize workflows and increase productivity
- Identify opportunities for business development and expansion
Skills & Qualificaitons
- Demonstrated experience in strategic planning and execution
- Strong leadership abilities with the capacity to motivate and inspire teams
- Proven track record in operations management within a fast-paced environment
- Excellent project management skills with the ability to prioritize tasks effectively
- Senior leadership experience with the capability to make critical decisions
- Proficiency in negotiating contracts and agreements
- Skilled in process improvement methodologies to streamline operations
- Business development acumen to identify growth opportunities
POSITION QUALIFICATIONS
Minimum Education: Master’s Degree in Business Administration or closely related field
Preferred Education/Experience: Minimum of two (3) years’ experience in Administration and leadership role. Strong verbal and written communication skills, effective decision making skills, experience developing budgets and writing business plans
Required Certificaiton/Registration: Basic Life Support: CPR, First Aid, CPI annually, TB annually; Licensed to practice in the State of Hawaii (when applicable); Valid Hawaii State Driver’s License; Fingerprints (if working with children/adolescents)
Specific Competencies: Refer to attached Performance Standards/Indicators. Participates and maintains competencies/skills required for the position
Equipement Used: Agency assigned computer with a variety of software applications, fax machine, Xerox machine, scanner, multi-line telephone, cellular phone
Working Environment: Modern well-lighted, air-conditioned work areas. Exposure to infectious disease is a minimal risk. Noise level in the environment is usually moderate
Physical Requirements:
1. See attached “Expected Physical Activities”
2. Frequent reading of printed materials is essential;
3. Listening skills necessary to effectively respond to staff, managed care representatives, funding sources and clients.
Reponsibilities:
1. Provides oversight and management of all behavioral health outpatient services and school based programs as directed by the CEO.
2. Directly responsible for ensuring best practices are offered to and that groups are staffed appropriately to occur as scheduled
3. Provides support and oversight of Po’okela and provides operations oversight of all departments.
4. Monitor implementation of policies and procedures to ensure quality effectiveness and cost efficiency of assessed needs, identify gaps and provide written recommendations for programmatic expansion, problem resolution and diversification on a monthly basis
5. Improve the business processes for each department through analysis and collaboration
6. Get involved in long-term business planning at the managerial and executive level
7. Develop and implement program Policy and Procedures as directed by CEO for departmental issues or as assigned and in collaboration with Compliance Officer
8. Work with Quality Assurance Manager by reviewing processes, ensuring that deliverables are completed as noted in the Quality Assurance Plan. Will also work with Compliance Officer to ensure compliance in all program areas.
9. Facilitate meetings required to expand community awareness and participate as needed on community task forces
10. Ensure copies of all reports and documentation is easily accessible to CEO
11. Ensure compliance for State, Federal, County, Managed Care contracts and grants
12. Ensure that all client records are kept in order to meet or exceed CARF Standards, Hawaii Administrative Rule, Licensing, Accreditation and program compliance
13. Completes all monthly funding source reports for designated assigned SB area sites
14. Ensures HIPAA and 42 CFR standards are met
15. Collaborate with department management to develop financial plans
16. Implement, manage and evaluate operation processes and procedures, in accordance with the standards and procedures set out by the organization
17. Assist in developing short and long-term agency needs and plans and documents plans for implementation
18. Communicate strategy and results to all staff
19. All other duties as assigned by CEO
