Job Summary:
We are seeking a motivated and detail-oriented Intake Specialist / Sales Representative to join our dynamic team at The Law Office of Bryan Fagan. The ideal candidate will be one of the first points of contact for prospective clients, responsible for evaluating and qualifying leads, and guiding them through the initial intake process. This role requires a balance of excellent customer service skills and sales acumen to effectively communicate the value of our legal services. Knowledge of HubSpot or similar CRM software is a plus.
Key Responsibilities:
- Client Intake and Assessment:
- Respond promptly to inquiries from potential clients via phone, email, and online channels.
- Conduct initial consultations to gather essential information about potential clients' legal needs.
- Evaluate and qualify leads based on predetermined criteria to ensure alignment with our firm's services.
- Schedule appointments with attorneys for qualified leads.
- Follow up calls on sales pipeline
- Other duties as assigned
Sales and Customer Service:
- Present and explain the firm's services to potential clients, emphasizing the benefits and value of choosing our firm.
- Follow up with potential clients to answer questions, address concerns, and provide additional information as needed.
- Maintain a high level of customer service and professionalism in all interactions.
- Administrative Duties:
- Accurately enter and update client information in the firm's CRM system (HubSpot knowledge preferred not required).
- Prepare and send out necessary documentation to clients.
- Coordinate with attorneys and other staff to ensure a seamless client intake process.
Collaboration and Reporting:
- Provide regular updates and reports on lead status and conversion rates to management.
- Participate in team meetings and training sessions to continuously improve knowledge and performance.
Qualifications:
Education and Experience:
- High school diploma or equivalent required; associate or bachelor's degree preferred but not required.
- Previous experience in customer service, sales, or intake specialist role, preferably in a legal or professional services setting.
- Familiarity with legal terminology and processes is a plus.
Skills and Abilities:
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to build rapport and trust with potential clients.
- Sales-driven mindset with the ability to persuade and influence decisions.
- Highly organized with strong attention to detail.
- Proficiency in using CRM systems, with HubSpot experience being a significant advantage.
- Ability to handle confidential information with discretion.
Technical Skills:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with CRM software, preferably HubSpot.
