Established in 1903, the Harris County Medical Society (HCMS) is the professional organization for physicians in Harris County and the largest county medical society in the nation, representing more than 13,000 physicians and medical students. Throughout this long history, HCMS has diligently worked to improve healthcare and medical standards in Harris County. HCMS is currently seeking a FT candidate to fill the role of Administrative Assistant. The role is Monday – Friday, 9:00 am to 5:00 pm along with some evening and weekend events/meetings. The position is hybrid, working 3 days in the office and 2 days remotely.
An overview of the duties include:
- Assist with various administrative tasks, general office duties and projects
- Performing front desk / receptionist work as assigned
- Creating membership reports and updating membership records
- Verifying licensure, eligibility and completed applications for new physician members
- Process transfers of members in and out of HCMS
- Prepare and submit paperwork for newly retired physicians
- Assist in member retention efforts including taking dues payments and incoming membership calls
- Assisting with event planning and preparation, including processing registrations
- Performing accounting duties such as processing payments and preparing deposits
GENERAL QUALIFICATION REQUIREMENTS
Knowledge and Experience:
- Requires an understanding of general business etiquette and professional communication. Knowledge required is normally equivalent to the attainment of a high school diploma and at least 3 years of relatable work experience. This position requires excellent verbal communication skills, interpersonal skills, great level of detail, and organization.
Skills and Abilities:
- Ability to understand and follow oral and written instructions and to work effectively with other HCMS employees, HCMS members, and other parties. Must be organized and able to pay strict attention to detail while handling multiple tasks and interruptions. Must maintain professional communication skills and proper phone/written communication etiquette. Proficiency in utilizing office equipment, Word, Excel, PowerPoint, Outlook, utilizing databases required.
WORKING CONDITIONS AND PHYSICAL DEMANDS
Applicants must be physically able to efficiently perform the duties of the position which include:
- Sedentary inside office work
- Ability to lift up to 40 pounds
- Sit, and stand for long periods of time
- Occasionally pack and unpack boxes, supplies, and other items
- Ability to hear, understand, and distinguish speech and/or other sounds in person and via telephone
- Entering text or data into a computer or other machine by means of a keyboard
