As a Receptionist, you will play a crucial role in providing administrative support and ensuring smooth operations in our office. Your attention to detail, strong organizational skills, and ability to handle multiple tasks will contribute to the overall efficiency of our team. Responsibilities Include:
- Greet and welcome visitors in a professional and friendly manner
- Answer, screen and direct phone calls using a multi-line phone system
- Maintain calendars for all in office meetings
- Set-up Zoom and Conference calls for staff and attorneys as needed
- Receive, sort and distribute daily mail and manage all deliveries
- Place office supply orders
- Arrange travel and hotel accommodations for all attorneys
- Provide general support to visitors, clients, and staff such as filing, photocopying and transcribing
- Maintain office security by following safety procedures and controlling access via the reception desk
- Ensure reception area is tidy and maintain a professional appearance
- Assist with special projects as assigned
Skills:
- Strong administrative skills with attention to detail
- Proficient in transcribing and maintaining accurate records
- Experience with order entry and data entry systems
- Excellent typing skills with a high level of accuracy
- Computer literacy, including proficiency in Microsoft Office Suite
- Ability to multitask and prioritize tasks effectively
- Strong communication skills, both written and verbal
- Familiarity with phone systems and ability to handle multiple phone lines
Requirement:
1+ years of experience preferably in a law firm
