This position directs cross-functional teams responsible for driving regional, operating unit or system initiatives, strategies, issue resolutions and alignment across Sutter Health. Plans, organizes, monitors, and oversees three or more concurrent projects which are typically longer in term, and greater size, scope, budget and/or impact. Responsible for project work plan development, the establishment of project communication and risk management plans, workflow process redesign, metric development and measurement, and return on investment analysis. The Project Manager IV assigns project tasks to designated team members and oversees the work of other Project Manager(s) and Project Coordinator(s). Performs independently under broad policy guidelines and exercises expert authority over assigned projects. Uses project management tools and standards as outlined by the Project Management Institute to ensure projects stay on track to complete deliverables and project integration with other initiatives. Management reserves the right to revise the job description or require that other tasks be performed when the circumstances of the job change (for example, emergencies, staff changes, workload, or technical development).JOB ACCOUNTABILITIES:Project Management:• Partners with the regional, operating unit or system leaders, project sponsors, project stakeholders and project coordinators, in defining the scope of work, objectives, deliverables and time frames of implementation projects; supports targeted implementation efforts through project management best practices.• Addresses issues that span across multiple topics and functional areas.• Provides direct project management for multiple concurrent projects, that complex in nature, medium to large in terms of size, scope, budget and/or impact.• Leads the utilization of effective and appropriate project management process, practices and tools in the development and implementation of projects.• Performs troubleshooting of projects, process and tools and identifies/removes barriers to ensure desired outcomes are achieved.• Develops thorough action plans and ensures project members are clear on roles/assignments.• Provides feedback, advice and coaching to executive sponsors, colleagues and project leadership on project team members’ participation, effectiveness and follow-through to ensure working relationships and project success.• Designs and implements best practice project management approaches and tools, to ensure the highest level of confidence in evaluation of project progress.
Staff Support and Team Facilitation:• Translates project content or process details in to simple, tangible formats that are easily understood. Adapts presentation of materials, and communications to the needs of project stakeholders.• Manages assigned project work groups and project management staff including junior Project Managers and Project Coordinators. Ensures consistency in focus of these bodies so that project, and departmental goals are met.• Effectively facilitates group meetings to drive decisions and/or alignment among diverse groups. Remains up to date on varied project components, ensuring implementation is aligned, coordinated, organized, and timely.• Seeks and incorporates input from content experts at the plan, region and/or system level to be sure relevant stakeholder perspectives are included in project planning and implementation.• Collaborates with project support team to ensure the standardized usage of effective project management process, practice and tools and the effective division resources.• Acts as a consultant and coach to departments and functions across the organization in understanding and following project management standards and processes.• Provides training in the use of standard project management tools.
Project Reporting:• Supports project teams in effectively utilizing project management tools to track and monitor progress execution.• Collects project status information and compiles updates into standardized reports.• Prepares standard reports for varied audiences to maintain consistent communication of project information and results.• Adapts communication tools and approaches to meet the needs of varied audiences.
People:• Coaches and mentors less seasoned Project Managers and Project Coordinators; motivates them to maintain a consistent level of excellence in project management and outcomes.• Provides input into recruiting, coaching and performance evaluation of project management staff.EDUCATION:Equivalent experience will be accepted in lieu of the required degree or diploma.Bachelor's: Degree in business administration, health care administration, public health administration, or other related field or equivalent education/experienceTYPICAL EXPERIENCE:8 years of recent relevant experience.
SKILLS AND KNOWLEDGE:Thorough knowledge of the project management processes, including planning tasks and allocating resources, risk management, issues management, time management, financial management, quality management, monitoring and reporting, documentation and record keeping.Significant business background sufficient to understand the operations and technical issues involved with the project and industry, to be able to anticipate and identify obstacles, and make accurate decisions and recommendations.Ability to provide direction, monitor, train, coach and assign work to project staff.Interpersonal skills; the ability to work well with people from many different disciplines with varying degrees of experience; competence in clear, concise and tactful communication with management, vendors, peers and staff.Adaptability and flexibility including ability to manage deadline pressure, ambiguity and change.Ability to plan and facilitate meetings.Thorough knowledge of principles of Lean management systems.Ability to gain cooperation and support through effective use of influence and persuasion required.Conceptual, analytical and negotiation skills are necessary, along with skills in solving moderately-complex problems and developing actionable recommendations.
