We are seeking a highly organized and experienced Operations Coordinator to oversee the daily operations of the practice, including the Medspa and Surgery Center. The ideal candidate will provide general oversight and team leadership to staff, manage product and supply ordering and inventory, manage surgery scheduling, and ensure exceptional customer service. This individual will support administrative, marketing, sales, and business functions while upholding established policies, procedures, and quality improvement standards.
The Operations Coordinator will ensure safety and compliance with accreditation and regulatory agencies. As a brand ambassador for the aesthetic practice, the candidate must present themselves in a polished and professional manner.
The ideal candidate will have a background in medical office administration (preferably in medical aesthetics) and possess strong organizational and communication skills.
Duties include, but are not limited to:
- Coordinate and manage administrative tasks to ensure efficient office operations
- Schedule and coordinate appointments, meetings, and events
- Assist with patient check-in and check-out procedures
- Back up the Front Desk Coordinator and other team members in answering phones and respond to inquiries in a professional and timely manner
- Back up the Patient Care Coordinator in the consultation process, inclusive of follow up activities and lead conversion
- Manage surgery schedule and scheduling tasks, inclusive of coordinating all pre-surgical clearances, coordinating surgery team schedules, and ensuring all surgical balances are paid in accordance with practice policy
- Daily financial reporting, monthly financial close and ensuring practice financials are providing to accounting team
- Ensure compliance with HIPAA regulations and maintain patient confidentiality
- Collaborate with other team members to improve office processes and workflows
- Coordinate office technology needs, service & support
- Primary point of contact for IT support
Experience:
- Previous experience in medical office administration is REQUIRED
- Proficiency in using electronic medical record systems
- Strong knowledge of office administrative procedures and systems
- Excellent communication skills, both verbal and written
- Ability to multitask and prioritize tasks in a fast-paced environment
- Attention to detail and strong organizational skills
- Technologially savvy with computer systems, business operation platforms, and software.
