We are seeking a dedicated Admin and Operations Coordinator to join our team and contribute to the smooth operation of our academy.
Job Description: The Admin and Operations Coordinator will play a critical role in ensuring the efficient operation of our front desk, managing student lunch counts and allergies, overseeing supplies, and ensuring compliance with Texas Department of Family and Protective Services (DFPS) regulations. This individual will also coordinate and oversee safety drills and protocols.
Key Responsibilities:
- Front Desk Management:
- Greet and assist students, parents, and visitors.
- Answer phone calls and respond to emails in a professional and timely manner.
- Maintain a welcoming and organized front desk area.
- Student Lunch and Allergies Management:
- Coordinate and manage daily student lunch counts.
- Maintain and update records of student allergies and dietary restrictions.
- Communicate with kitchen staff and parents regarding any special dietary needs.
- Supplies Management:
- Monitor and manage inventory of school supplies and materials.
- Place orders and ensure timely delivery of necessary supplies.
- Organize and distribute supplies to classrooms as needed.
- Compliance and Safety:
- Ensure compliance with Texas DFPS regulations.
- Organize and oversee regular safety drills (fire, tornado, lockdown, etc.).
- Maintain accurate records of safety drills and compliance-related documentation.
Qualifications:
- High school diploma or equivalent; Associate's or Bachelor's degree preferred.
- Previous experience in an administrative or operations role, preferably in an educational setting.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of Texas DFPS regulations is a plus.
- Ability to work independently and as part of a team.
