Career Services - Operations Coordinator
Summary:
The Career Services (CSO) Operations Coordinator will play a key role in optimizing efficiencies to support the day-to-day operations of the department. The Operations Coordinator will report directly to the Director of Career Services and collaborate with them as well as other CSO staff, with an emphasis on client services, front desk operations, data analytics, event and program management assistance, basic IT services, and general office support.

Essential Duties & Responsibilities:
- Oversee the operations of the office area and front desk;
- Serve as point person for main phone lines and emails;
- Welcome visitors and direct them to the proper area based on purpose of visit;
- Maintain general office files and records;
- Draft and send communications to students, employers, stakeholders, and other departments;
- Provide assistance to the team's efforts to complete departmental assignments;
- Manage and maintain the Career Advising Network, including posting and approving jobs daily, validating new employer and contact records daily, monitoring system activity to detect fraud, providing tech support regarding the system to students, and liaising with the vendor to resolve issues that arise;
- Schedule rooms, request services (e.g. facility, refreshments, media), and send communications as required to support Career Services events and programs;
- Support employer relations efforts including executing the annual alumni career fair;
- Track and produce metrics for the Career Services Annual Report and other office-wide reports;
- Maintain ancillary systems such as EMMA, Symplicity, Confluence, and other tools as required by the CSO;
- Provide technical support to CSO personnel on various technology platforms and tools;
- Produce, author, edit, and maintain version control of CSO process documentation;
- Assist with management and content of social media accounts (i.e. Instagram)
Qualifications & Requirements:
- Bachelor’s degree; experience working in an academic institution or the legal profession preferred;
- Excellent attention to detail (familiarity with common patterns of internet-based fraud is a plus);
- Ability to work well with a diverse law student/alumni population;
- Excellent oral and written communication skills;
- Demonstrated administrative and organizational skills;
- High level of proficiency with Microsoft Office (especially Excel and Word);
- Familiarity with computer technology, database software (including 12Twenty, Anthology (formerly iModules), and/or Jenzabar or similar databases);
- Professional demeanor and excellent customer service skills;
- Must enjoy working in a fast-paced environment, and be able to manage several projects simultaneously;
- Ability to travel and work beyond the normal office hours - Some evening and weekend requirements; AND
- Ability to maintain confidentiality.

Pay: $55,000.00 per year
