Job Title: Property Manager
Job Summary:
We are seeking a proactive, detail-oriented and organized Property Manager to join our team. The Property Manager will play a crucial role in ensuring the smooth functioning of our office by handling a variety of responsibilities related to financial operations, data entry management, and office efficiency. and The ideal candidate will have strong organizational skills and the ability to multitask effectively.
Responsibilities:
- Manage the routing of all incoming invoices whether electronically or via physical mail
-Collate and deposit all physical checks using remote desktop scanners into designated bank accounts
- Operate phone systems to handle incoming calls and direct them appropriately
- Organize and prioritize incoming mail, scanning and categorizing critical documents such as Accounts Payable (A/P), Accounts Receivable (A/R), loan statements and Tenant documents (leases, amendments, etc.,)
- Communicate with Tenants regarding rent payments being made on time
- Input Tenant data into relevant systems ensuring accuracy and completeness
- Assist in the implementation of rent increases, including the distribution of notices via letter, emails and calculation of revised amounts
- Interface with vendors on matters pertaining to outstanding invoices and adress payment issues promptly
- Manage and ensure accurate completion of annual 1099 filings
- Undertake expanded responsibilities in cash management as directed, including the facilitation of fund transfers between entities as needed.
- Collaborate with the Property Management department to streamline the automation of late fee assessments within the Yardi system, ensuring timely implementation across diverse property portfolios.
- Work alongside the Property Management department to establish automated processes for Common Area Maintenance (CAM) charges within Yardi, recognizing the complexity and time sensitivity inherent in this task.
- Assist in annual reconciliation of CAM charges
- Prepare and distribute rent rolls and financial statements to lenders as a part of routine compliance requests
- Address tenant inquiries and complaints related to payment issues, and provide guidance on utilizing online portals such as Rent Cafe and Commercial Cafe
- Monitor and track payment plans arranged with tenants, ensuring adherence to agreed terms
Skills:
-Proven experience as a Property Manager, Office Manager, Administrative Assistant, or similar role
-Proficient in Yardi
-Strong organizational and multitasking skills, with a demonstrated ability to manage multiple responsibilities effectively
-Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders
-Proficiency in Microsof Office Suite (Word, Excel, Outlook) and experience with property management
-Knowledge of financial procedures and attention to detail in financial reporting and compliance
-Bachelors degree in Business Administration, Finance, or related field preferred
