BASIC FUNCTION: Support an assigned group of attorneys. Responsibilities include creating, revising and formatting legal documents, spreadsheets and presentations using the Firm’s software including document comparison, revisions and proofreading. Answering phones, entering attorney time, managing calendars, and expense reimbursements along with other general Legal Assistant duties and projects as assigned.
MAJOR DUTIES AND RESPONSIBILITIES:
- Provide administrative support to multiple lawyers
- Effectively communicate with clients, colleagues and attorneys
- Perform initial screening of clients
- Assist in the creation of various legal documents such as Marital Settlement Agreements, Petitions for Dissolution of Marriage, Parenting Plans, Allocation Judgements, and file any other number of motions, orders or petitions
- Produce documents, firm standard letters, pleadings, correspondence, and memoranda received via hand-written copy, electronically, dictaphone, or edited typed work product
- Maintain an updated case record system
- Answer phone calls, take notes/messages and redirect calls when appropriate
- Maintain and update inventories of contact details
- Facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders
- Docket all client related dates in firm’s docket system
- Maintain attorney calendars
- Update and create spreadsheets
- Use Aderant for accurate entering of time records
- Maintain records of attorneys CLE Requirements
REQUIREMENTS:
- 3-5+ years of legal experience or professional services experience required
- Proven experience as a Legal Assistant with an emphasis on family law
- Knowledge of legal terminology, regulations and court systems (Cook, DuPage, Lake Will, etc)
- Knowledge of MS Office and ability to work with legal technology (court-filing computer systems, transcription software, dictaphone, etc.)
- Working knowledge of document management software systems is a plus
- Outstanding time-management and communication skills
- Ability to multitask and being comfortable dealing with a diverse pool of people
- Ability to maintain confidential information
- Strong emphasis on proofreading and grammar proficiency
- Minimum typing of 60 wpm

The person should possess the ability to take initiative and interact with all levels of management and staff with tact and diplomacy. Position requires a demonstration of effective oral and written communication skills, self-motivation and the ability to work independently. The ability to perceive and analyze problems, develop alternatives and make or recommend sound decisions are essential.
