Position Description & Summary of Role:
Step into a pivotal role as a key contributor to the smooth operation of our fast-paced—and welcoming—financial planning office. Engage in various administrative and front-of-house duties to ensure seamless daily business operations. Collaborate closely with financial advisors to manage and streamline office workflow, prioritizing the creation and delivery of a unique client experience that sets our practice apart. Uphold high standards of business ethics and professionalism, adhering to all legal and regulatory requirements in all interactions and tasks. This role involves providing essential client relationship support, including direct interaction with clients to facilitate accurate account setup and serving as a primary point of contact to address client inquiries. Additionally, this position encompasses other practice management tasks related to client service as needed.

- Ritz Carlton Service Excellence standards
- Greet clients upon arrival and extend hospitality to clients
- Prepare birthday cards, write notes or letters to clients on personal letterhead of administrative nature
- Document all client contact including but not limited to: calls, faxes, emails, correspondence, forms, etc.
- Copy and track all client and practice materials including business correspondence
- Maintain cleanliness of the office
- Update client profiles
- Client Onboarding
- Research client relationships and connections via social media: LinkedIn/Facebook for advisors and staff to leverage for unique and personal touches
30% Administrative
- Answer phones and get clients to the appropriate person to help with their needs
- Schedule client appointments, conduct client appointment reminder calls and check-in calls on follow up items
- Copy and follow-up with home office on related issues
- Prepare correspondence for advisor signature
- Copy and track all client and practice materials including business correspondence
- Maintain client management system
- Scanning checks, forms, and maintain mail and check log
- Perform other allowable duties as assigned
- Assist practice team when needed
