Job Summary
Responsible for answering the phones, scheduling patients appointments in Practice Management system; scheduling surgeries; posting surgeries, maintaining physician schedule, assist physician in miscellaneous administrative tasks.
Duties and Responsibilities
- Scheduling appointments (includes gathering all necessary patient demographic and insurance data), surgery, therapy, tests, and notifying patients of any arrangements made.
- Entering information into Practice Management system.
- Communicating with patients, including relaying messages to and from physicians, surgical information, pre-op instructions, etc.
- Answering telephone calls and initiating calls when necessary.
- Running Clinic – involves checking patients out after appointment, scheduling follow up appointments, and submitting completed encounters to billing.
- Completing paperwork for patients.
- Cooperate with other staff for efficient operations. Provide coverage in the event of other secretaries’ absence as part of the team.
- Works on other duties as assigned.
Qualifications
- High School Diploma or equivalent. Degree preferred.
- At least 3 years’ experience in a medical office environment, preferably in a physician secretary role, or surgical scheduler role.
- Previous customer service experience or other medical office experience with communication to patients and surgical posting experience.
- Knowledge of Microsoft Office Suite, EMR/PM systems.
- Ability to exercise judgment and independence to provide services necessary to meet the patient and their family’s/guests’ needs.
- Detail oriented, and organized.
- Ability to multi-task and work in a fast paced environment.
- Not afraid of phone calls, or taking on new challenges.
- Able to work with a primary team of 3 to 4 people and a larger team of 11.
Working Conditions
Normal office environment. Occasionally dealing with staff or patients in a one on one environment. Work hours are Monday through Friday during business hours usually between 7:30 AM and 5:30 P.M.
Physical Requirements
Position requires sitting at a desk for long periods. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required. Employee must have normal range of hearing and eyesight to communicate with patients and co-workers.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
