Position Summary & Responsibilities:
Position Summary:
The Office Receptionist will serve as the first level of contact for the Commerce office in Overland Park, KS. This position will greeting both walk-in and telephone customers, assist with electronic filing systems and be responsible for purchasing office supplies.
Job Responsibilities may include but are not limited to the following:
RECEPTION:
- Serves as a liaison between Commerce and Corporate Woods facility services.
- Serves as the office manager including but not limited to scheduling conference rooms, facilitating Corporate Woods / Vendor payments, organizing events hosted at the KC facility, and managing Commerce resources appropriately.
LEGAL ADMINISITRATIVE ASSISTANCE:
- Assists the Legal Division with efficient and accurate electronic filing for documents from DocuSign in the SharePoint software system.
ADMINISTRATIVE ASSISTANCE:
- Assists the Office of Innovation and the Office of the Secretary with administrative tasks, such as fiscal paperwork, travel logistics, lodging, etc.
- Assist Facility Management staff with encumbrances, service orders, payment vouchers and other reporting items related to vehicle maintenance, key cards, and procurement.
- Assist Salesforce staff with administrative tasks, such as fiscal paperwork.
PURCHASING:
- Responsible for buying office supplies for the Commerce office in Kansas City. Ensures supplies are stocked and reviews purchase requests for compliance before ordering.
- Assists in reconciling procurement card by providing complete documentation.
- Reviews invoices, verifies cost and quantity, and contacts vendors for adjustments.
- Advises staff on purchase options based on their needs and research new office products as needed.
Qualifications:
Minimum Qualifications:
- Two years of experience in general office, clerical and administrative support work.
- Education may be substituted for experience as determined relevant by the agency.
Preferred Qualifications:
- Prefer 5 years independent experience in purchasing, office support and financial record keeping.
- Knowledge of modern office methods, equipment and practices Knowledge of record keeping and reports
- Experience with DocuSign and SharePoint
- Ability to establish and maintain effective working relationships with other employees and general public.
