Brunswick, Maine law firm is seeking a full-time Office Assistant to provide incoming phone support and other light office duties. Position Summary:
The full time office assistant is responsible for handling incoming calls to the firm with the utmost professionalism and care. The Office Assistant is the first representation of the company to all visitors to the office and must be able to ensure a positive initial experience. Schedule is 9:30am - 6:00pm Monday through Friday, with some flexibility. The Office Assistant reports directly to Director of Facilities.
Key Outcomes:
· Direct inbound calls to appropriate personnel
· Maintain office voicemail box
· Maintain incoming faxes
· Maintain reception area
· Welcome clients, prospective and new employees, and guests
· Commits to maintaining client privacy
· Supports the planning and organization of firm events
· Other duties as needed
Education/Experience:
· Minimum 2 years Reception/ Administrative/Customer Service Experience
Skills/Knowledge/Competencies (Behaviors):
· Proficient typist with intermediate to exceptional skills in Microsoft Office Word, Excel and Outlook
· Aptitude and ability to quickly assess client situation and respond in a confident, compassionate manner
· Ability to prioritize, organize and disposition a large volume of incoming calls
· Willing to support others and work collaboratively across the organization
· Ability to interface with multiple levels, including attorneys, executives, as well as peers
· Demonstrated ability to communicate with tact and respect while handling difficult conversations a variety of individuals
· Resilient and able to recover from difficult conversations quickly
· Readily adaptable to new/different/challenging assignments to meet business needs
· Proven problem solving/critical thinking
· Ability to communicate technical information in a clear and succinct manner
· Ability to work independently for long stretches of time
· Bilingual in Spanish a plus
