Position: Operations Administrative Assistant
As an Operations Administrative Assistant, you will play a crucial role in supporting nightly operations by performing essential administrative duties. Your primary responsibility will be to ensure accurate and timely data entry and administrative functions. This includes entering drivers' load information promptly, maintaining compliance with Standard Operating Procedures (SOPs), and assisting in closing shipment consolidations. Additionally, you will handle phone inquiries, maintain confidentiality, and serve as a liaison between departments and external contacts. Your attention to detail, proficiency in Microsoft Office programs, and ability to work both independently and collaboratively will contribute to the smooth operation of our night operations team.
Core Responsibilities & Duties:
- Enter drivers' load information accurately and promptly.
- Follow Standard Operating Procedures for data entry and administrative tasks.
- Maintain daily data entry audit report.
- Assist in closing shipment consolidations.
- Answer phones and handle inquiries as necessary.
- Convert Pipeline shipments as required.
- Ensure compliance with TSA regulations relevant to the role.
- Maintain confidentiality of sensitive information.
- Act as a liaison between departments and external contacts.
- Perform other duties and special projects as assigned.
Job Requirements & Qualifications:
- High school diploma or equivalent (GED).
- Minimum 1 year of relevant data entry or administrative experience preferred.
- Proficiency in Microsoft Office programs (Excel, Word, Outlook).
- Ability to manage multiple tasks with attention to detail.
- Strong organizational and time management skills.
- Effective communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Basic math skills including addition, subtraction, multiplication, and division.
- Reliable attendance and punctuality.
- Primarily sedentary work, occasionally involving standing, walking, or stooping.
- Use of hands and fingers for typing and handling paperwork.
- Ability to lift and move up to 10 pounds.
