INFINITEK are excited to be working with North America's leading custom HVAC manufacturer and we are looking for a Service Dispatch Coordinator to join their team and become the vital link between their customers and service technicians!
The Role:
As a Service Dispatch Coordinator, you will play a crucial role in ensuring the company's service operations run smoothly and efficiently. You'll be responsible for managing daily schedules, dispatching technicians, and maintaining excellent customer relations. This position offers an exciting opportunity to work closely with the Service Operations Manager and be a key contributor to the company's success.
Responsibilities:
- Be the first point of contact for customers, receiving calls and sales requests, and creating detailed call slips.
- Keep customers informed with accurate estimated times of arrival for each service call.
- Address customer inquiries and complaints with professionalism and a commitment to superior service.
- Coordinate and schedule a variety of service work, from maintenance and startups to emergency calls and training sessions.
- Maintain and update dispatch boards, call schedules, and on-call lists to ensure seamless operations.
- Ensure all service calls are accurately entered into the system and schedules are meticulously maintained.
- Provide technicians with clear and detailed information to ensure effective service delivery.
- Ensure adherence to customer-required check-in and check-out procedures by field personnel.
- Review and manage documentation from technicians, vendors, and customers to ensure proper handling for billing and accounts payable.

Requirements:
- Proficiency in Microsoft Word, Excel, and Outlook. Experience with Great Plains/Wennsoft Service Management Software is a plus.
- Advanced customer service skills to build and maintain strong relationships.
- Strong clerical aptitude and the ability to thrive in a fast-paced environment.
- High school diploma or GED plus five years of relevant work experience.
- Excellent oral and written communication skills.
- Familiarity with service terminology and billing practices is preferred.

Pay: $20.10 - $28.00 per hour
