· The hours for this position will primarily be Monday – Friday 6:00 – 2:30, but we offer great flexibility for personal matters—though we demand flexibility during crunch times, as well.
Who We Want
The Construction Project Administrator III is a critical role at REON. This position will support multiple REON key personnel, including Project Managers (PM), Quality Control Manager (QCM), Site Safety & Health Officer (SSHO), and Contract Manager in the execution of administrative duties of projects. Contract work will include response to high-profile or critical building elements or systems. The Construction Project Administrator III will also be working in close collaboration with our office team and comptroller to track reports, invoices, orders, and documents. Communication and input into the processes and effective practices of REON Inc is expected of all critical employees. Development opportunities will be supported for advancement within REON. Government contract experience is required.
Duties/Responsibilities: Construction Contract Administrator
· Set up and track the project requirements, working in collaboration with the Project Manager and other team members for information and communication.
· Manage contracts $150,000 - $8,000,000 in size
· Organizing and developing required documentation from proposals, through contract award, pre-construction submittals, coordination of subcontractors, scheduling, monitoring work progress, invoicing, and contract closeout.
· Assist in the development and revisions of various reports to track work performed, labor details, and other required information for tracking expenses, resources, and work status. Provide digital and hard copies.
· Assist in preparation of agenda, monthly meeting minutes, supporting documentation/reports, and distribution to stakeholders
· Ensure project file integrity (confirm that all project docs have been collected i.e., bonds, insurance, subcontract signed and fully executed as applicable)
· Manage and update subcontractor documents for coordination and provide policy guidance and clear communications for professional protocol to subcontractors, vendors, and other company visitors.
· Collect subcontractor personnel data for badging, credentials, training, and contact info
· Scheduled outage documents & advance notice for security, safety, and other plans
· Assist with coordination of material and equipment deliveries to the facility, confirm arrival dates and setup details.
· Review and validate outside vendor invoices
· Monitor all project financials, tracking planned cost vs. actual. Job progress vs. amount billed
· Communicate status and issues to be resolved to the Project Manager or other team members, as needed to adhere to the construction schedule
· Work directly with account payable, subcontractors, accounts receivable, and state agencies as needed for tax issues, government reporting, and/or wage issues, etc.
· Provide status of work, progress, accomplishments, and suggested improvements in processes to the internal team.
Skills, Qualifications, Experience: Construction Contract Administrator
· 5 years Federal construction contract experience REQUIRED.
· Associate’s Degree with an emphasis in MEP technical project management, general contracting, electrical contracting project management or mechanical/industrial engineering required. A Four-year bachelor’s degree preferred
· Ability to obtain a clearance for badging and access on federal facilities
· Ability to manage multiple priorities, effective team player, self-motivated, quick learner
· Exceptional organization skills
· Understanding of safe management of Personal Identification Information (PII)
· Clear understanding of Revenue, Gross Margin and Operating Income, and the ability to creatively resolve technical conflicts
· Excellent computer skills with proficient knowledge of MS Office applications Industry
