The Role:
The Office Manager plays a vital role in ensuring the smooth day-to- day operations of our CPA firm. This unique role combines the responsibilities of a Senior Staff Accountant with the day-to-day operations of our tax office. You'll leverage your accounting expertise to manage financial reporting and compliance while also ensuring the smooth day-to-day operations of our CPA firm. This means you will be responsible for a variety of administrative tasks, providing exceptional support to our team of CPAs, and maintaining a professional and welcoming environment for our clients.
Responsibilities:
- Financial Reporting & Compliance (Senior Accountant):
- Review and analyze financial statements for accuracy and adherence to accounting principles (GAAP).
- Independently manage the preparation and review of financial statements for our clients and the firm itself.
- Assist with tax return preparation and filing for our diverse clientele.
- Analyze financial data and recommend strategies to improve cost efficiency and revenue growth.
- Perform monthly bank reconciliations and prepare documentation for external audits.
- Maintain and update accounting records with meticulous attention to detail.
- Client Management & Team Leadership:
- Develop and maintain strong client relationships, providing exceptional service and technical expertise.
- Oversee the work of junior accountants, offering guidance, training, and performance feedback.
- Contribute to team effectiveness through the review and evaluation of team performance and work processes.
- Foster a collaborative and supportive team environment.
- Office Management:
- Coordinate client intake by scheduling appointments, collecting initial information, and ensuring proper documentation is completed.
- Answer phone calls and emails professionally, directing inquiries to the appropriate team member.
- Prepare client onboarding materials and ensure a smooth client experience.
- Assist with accounts payable and receivable functions as needed.
- Manage petty cash and office supplies.
- Oversee billing and ensure timely payments.
- Maintain a clean, organized, and professional office environment.
- Oversee office technology, including phone systems and computer networks (may require basic IT knowledge).
- Manage office supplies and equipment, ensuring timely reordering.
- Coordinate travel arrangements and expense reports for staff and partners (if applicable).
- Supervise and mentor administrative staff (if applicable).
- Human Resources:
- Manage employee performance evaluations and recruiting.
Additional Responsibilities:
- Stay up-to-date on current tax laws and accounting standards.
- Maintain confidentiality of all client and company information.
- Perform other duties as assigned by the Partner(s).
Qualifications:
- Master's degree in Accounting or Finance (preferred).
- Certified Public Accountant (CPA) license (preferred).
- Minimum eight years of experience in public accounting or a related field.
- Strong analytical and problem-solving skills.
- Proven ability to manage multiple projects simultaneously and meet deadlines.
- Strong understanding of US tax regulations and GAAP principles.
- Ability to mentor and develop junior staff.
- Excellent communication, interpersonal, and organizational skills.
- Proficient in Microsoft Office Suite (Word, Excel) and accounting software (e.g., Quickbooks & Drake Software a plus).
- Experience in a fast-paced environment.
- Experience with human resources functions (a plus).
- Strong attention to detail and accuracy.
- Professional demeanor.
