A HVAC company is seeking a motivated Administrative Assistant to support our operations with a focus on invoicing, billing, accounts payable/receivable, vendor management, subcontractor payments, and contract review. The ideal candidate should be highly organized, a fast learner, and possess strong interpersonal skills to effectively communicate with both clients and colleagues. While knowledge in HVAC operations is advantageous, it is not a requirement as they are willing to provide training.
Responsibilities:
Invoicing and Billing: Prepare and issue invoices accurately and promptly. Ensure billing inquiries are handled promptly and professionally.
Manage accounts payable and receivable processes. Monitor payment schedules and follow up on outstanding invoices.
Liaise with vendors to order supplies, negotiate contracts, and ensure timely payments.
Process payments for subcontractors, review invoices, and maintain accurate payment records.
Assist in reviewing contracts and agreements to ensure compliance and accuracy.
Provide general administrative support such as answering phones, responding to emails, filing paperwork, and maintaining office supplies.
Qualifications:
Ability to manage multiple tasks efficiently and prioritize workload effectively.
Strong verbal and written communication skills, with a professional and courteous demeanor.
A keen eye for detail to ensure accuracy in billing, invoicing, and contract review.
Ability to grasp new concepts quickly and willingness to learn about HVAC industry practices.
