SUMMARY: Performs a variety of support duties for the Human Resources Department with a strong emphasis onthe management of information related to substitutes, including employees hired by the Educational Service Center. Must be proficient in the use of computer applications including word processing, Excel and PowerPoint. The idealcandidate will possess excellent customer service skills and be able to thrive in a fast changing, high demandenvironment. Being able to multitask, work under short deadlines and possessing strong communication skills are critical.ESSENTIAL DUTIES AND RESPONSIBILITIES: Demonstrates sound judgment and emotional stability.Maintains a positive attitude and works well with others.Ensures the safety of students.Interacts with staff, students, and the community in a positive and respectful manner.Answers phones and distributes mail for the Human Resources Department.Manages the Districts substitute management system including updating the district calendars, creating new accounts and updating employee job assignments.Coordinates substitute services with the Educational Service Center (ESC) including processing the employment of substitutes, managing daily building substitute assignments, and tracking, auditing and reconciling substitute payroll.Monitors long-term substitute assignments for 11- and 61-day pay increases.
Onboards substitutes to GJPS who reach 61 consecutive days in an assignment.Works with Leave & Benefits Specialist on long-term leave of absences.Oversees the maintenance of employment files.Onboards classified substitutes and maintains personnel files including reasonable assurance letters.Prepares requisitions, and orders and maintains inventory for the Human Resources Department.Accurately maintains state and federal budget lines and communicates with the Director of Human Resources regarding the status of accounts.Checks for accuracy of bills and processes invoices.Manages purchase orders, contracts with agencies, and ongoing service agreements.Checks for accuracy and processes time sheets for the Director of Human Resources.Maintains department files, distributes mail, answers phones and provides information to District personnel, parents and others.Maintains documentation for and supports the preparation of state reports and forms.Maintains exit interview database and produces letters/questionnaires for staff who have retired or resigned.Maintains all records requiring board agenda approval.Completes background checks and I-9s for employees.Completes employment verification requests received from financial institutions, lenders and employers.Registers the Human Resources Department staff for job fairs and prepares job fair materials.Maintains service awards database.Prepares travel arrangements for Human Resources Department personnel.Processes public records requests in a timely manner.Other duties as assigned by supervisor.
