The Role
The Associate Advisor, in collaboration with a team, supports the creation, execution and monitoring of clients’ financial strategy through direct client interaction, workflow processing and coordination with other team members to deliver a premium client experience. This position requires knowledge of the core principles of financial planning, working in a planning support role and the ability to interact with clients at a high-level. The role requires a person who can demonstrate grace under pressure, a positive attitude and the ability to handle a dynamic and heavy workload.
As an Associate Advisor with ArisGarde you will already have or need to complete the licensing process and gain industry experience in order to prepare for a career as a Financial Advisor with the organization. This role supports the Managing Partner in the firm, allowing the Associate Advisor to gain a depth of knowledge of financial planning, business-building, and providing an exceptional client experience. The ideal candidate will have excellent communication and organizational skills, the ability to think on their feet, and a passion for helping others. Outcome
A successful Associate Advisor will:
- Leverage the Managing Partners time, allowing them to focus on providing high-level financial planning and revenue producing activities that assist in driving firm growth
- Support high client satisfaction rates through excellent customer service, prompt and accurate completion of client paperwork, follow-up to client issues and proactive problem solving
- Learn skills required to grow into a lead advisor position within the firm
- Ensure prospects and clients experience superior client service, are happy and feel confident that the firm has their best interest at heart.
Below is a summary outline of the responsibilities initially required of the Associate Advisor with ArisGarde. This description may be modified as necessary, considering this is a dynamic role.
Financial Planning and Investment Process
- Participate in client meetings as requested, prepare summary and direct action items from meeting
· Gather and evaluate client submitted financial planning materials (i.e. insurance statements, benefits statements, expense reports, earnings, mortgage information, etc.) for correctness and completion
· Enter data into financial planning software
- Coordinate with Managing Partner to determine client strategy and financial plan development and implementation in collaboration with client and other team members
- Prepare recommendations based on client needs, goals and objectives, with oversight from Managing Partner
- Actively identify financial planning workflow improvements and advise Managing Partner along with tram members as necessary
- Manage and maintain financial planning software acting as the primary contact for financial planning software related inquiries amongst the team and clientele
- Work with Team to prepare insurance proposals and quotes based on client needs for all lines of coverage including life, disability income and long-term care insurance
· Prepare Investment Planning Statements and reports to distribute to client(s)
· Maintain accurate record of Investment Policy Statements as needed
· Prepare Investment Review Reports for client meetings
· Prepare financial planning update report for advisor’s final review
· Maintain necessary continuing education credits
Operations
- Utilize CRM database, adhere to workflows and processes to track client interactions, assigning client-related tasks to appropriate team members for completion
- Communicate with custodians, broker-dealer and other partners/vendors
- Send requested documentation to clients, CPAs and their Legal team (as appropriate) regarding account activity and planning related matters
- Prepare paperwork for client transactions, including, but not limited to, opening new accounts, closing accounts, transferring assets, deposits, withdrawals, account title changes, address changes, insurance applications, etc.
· Open new accounts, including complex accounts (i.e. trusts, guardianships) and provide accompanying paperwork for investment and insurance solutions.
· Initiate, process and track account transfers and money requests.
· Maintain accounts and process necessary account forms and any changes to accounts
Client Service
· Provide consistent, clear and knowledgeable client communication
- Independently conduct client signing meetings as directed
- Oversee the preparation for all appointments, including review of the preliminary meeting agenda and finalization of client presentations for financial planner review
- Work with the Administrative Personnel in scheduling client appointments
- Process client service requests and escalate issues when appropriate
· Thoughtfully assist in the management of all elements of the Client Experience
· Schedule and prepare agenda for review meetings, as well as team strategy meetings
· Contribute to and distribute relationship marketing email communications
· Coordinate client event(s) with team members as needed
· Help plan and prepare educational events with team members
Business Development
- Call prospects to provide overview of firm and schedule initial appointments as part of a mutual discovery process
- Participate in prospect and networking meetings
- Support the preparation of client events
- Serve as a point of contact to help maintain strategy alliance and center of influence relationships
- Support firm and advisors in marketing efforts as requested
General Administrative
- Update processes/procedures related to the Associate Advisor position
- Maintain client files
- Support general administrative needs as requested
- Complete back-up duties as assigned and providing coverage for team members
Preferred Skills, Personal Traits, and Qualifications
- Bachelor’s degree required
- Energetic, eager-to-learn, team player
- Maintain an active Life, Accident and Health License

- Financial Planning Software experience preferred, but not required
- Knowledge of client relationship management (CRM) systems
- Passed the Securities Industry Essentials (SIE) Exam and has, or actively studying to attain, Series 7, 65 and/or CFP®, ChFC® or similar certification
- Expert computer skills, including advanced knowledge of Microsoft Office & Excel and
- Professional appearance and demeanor
- Effective follow-up skills and ability to meet deadlines without prompting
