Provides local Manufacturing Team administration duties. Tasks vary from simple to complex, ranging from financial operations to human resources to community involvement, supporting all levels of personnel throughout the plant. Accountable for protecting confidential Human Resources information, as well as communication required with other departments. Back up for Sr. Administrative Coordinator. Support may include but is not limited to the following:
Procurement
Manage P-Card and associated receipts
Enter purchase requisitions and timely confirm associated invoices .Oversee blanket POs assigned such as N2, NaOH, bleach, safety shoes, safety glasses, etc.
Maintain N2 & NaOH monthly tracking spreadsheets
Stock office supplies, hurricane supplies, etc.
Purchase meals as needed for meetings, shutdowns, etc.
Human Resources
Coordinate new hire CORE medical pre-employment evaluations
Coordinate new hire paperwork and new hire orientations
Coordinate employee return to work medical clearances
Complete Payroll approvals
Establish and maintain a secure employee filing system.Keep filing system current.
Lead Employee Excellence Committee (EEC), promoting engaged, happy, and healthy workforce
Coordinate on site holiday celebrations as needed
Coordinate plantwide recognition give-a-ways, luncheons, and/or offsite activities
Demonstrate employee care & concern on behalf of management team.Send care packages as needed for illness, funerals, marriages,etc.
Manage annual recognition budget
Update scrolling marquee with recognition
Maintain employee roster/list
Maintain site organization chart Operations, Maintenance, & Finance
Back up Sr Admin as point of contact for customer service as needed.
Back up Sr Admin for data entry such as daily production, daily shipment, and daily raw material receipts
Back up Sr Admin for month end closing error free
General
Ensure phone list is current.
PO Box mail collection & distribution
Meeting arrangements
Ensure office is well maintained, organized, and secure.Update site posters, photos, etc. as needed.
Ensure conference rooms are “meeting ready” with fridges stocked, white boards cleaned, etc.
Maintain radio inventory list
Assist with presentation and/or presentation materials as required
Cross train with and fill in for Sr. Admin when absent
Community Involvement
Manage annual donations budget
Actively participate in Partners in Education program (Carver Elementary)
Create “ESG” volunteer opportunities.
Track volunteer hours.
Encourage other team members to participate in community events
Abide by the Company, plant, and lab policies/procedures and safety rules.
Lead, support, promote, improve, and enforce compliance, all HS&E, corporate/plant policies, procedures, performance standards and ISO/RC 14001
Activity participates in HSE and Process Safety activities and initiatives (Employee Participation Program)
Comply with environmental limits and permit.
