The Office Administrator is part of our unstoppable administrative team. At Sprouts Therapy, we may wear multiple hats throughout the workday. We have dedicated personnel in Client Services, Medical Billing and insurance, Scheduling, HR, and IT. We work closely with each other and are always ready and willing to step in for assistance when needed!
Our Office Administrator will handle various administrative tasks, including client services, scheduling, and building organization. This person is stupendously detail-oriented, heavily utilizing their increasing analytical and critical thinking skills while simultaneously seeing “the big picture.” Their middle name is Problem Solver! With a possible love for piecing puzzles together and a “Teamwork makes the dream work” attitude, they are the conductor, in both senses, to our orchestra of therapists and the ever-chugging train that is our clinic.
RESPONSIBILITIES COULD INCLUDE (but are not limited to):
- Customer service- Tasks include promptly professionally responding to clients, responding to emails, and filtering client questions to the appropriate personnel. Answering new client inquiries and setting up intake files. Maintaining a positive relationship with clients, even in challenging situations.
- Scheduling- Timely and professional correspondence with clients regarding scheduling needs through email and phone.
- Bookkeeping - Managing receipts and weekly bank deposits, collecting client credit card information
- Front desk - Mail sorting, chart, and paper file organization.
- Organization of the clinic - including the office and therapy areas. Management of inventory of clinic supplies and therapy equipment
- Feeding Therapy - Setup and cleanup
- Team Meetings/Parties preparation- setup technology for team meetings (zoom, projector, etc.), ordering and picking up food and gifts
- IT - digital phone system forwarding and management, computer issues, and contacting our IT support
- Opening clinic - turning on lights and AC(s) at the start of each workday, unlocking doors and cabinets, checking voicemails
- Cleaning/closing of clinic needed occasionally when support staff are out.
- Misc. projects (data entry, clinic flyers, social media, marketing materials, etc.)
Responsibilities may grow after duties are mastered.
QUALIFICATIONS:
- Graduate of an accredited 4-year college with a bachelor’s degree or any combination of education and/or experience, subject to review and acceptance by the Clinic Director.
- Minimum (2) years of administrative experience.
- Minimum (1) year of customer service experience.
- Experience in customer service and team coordination.
- Must be proficient in Microsoft Word, Adobe, Excel, and Google Sheets
- Long-Term Commitment. This position requires a dedicated employee willing to undergo a timely training period.

SCHEDULE & HOURS:
Mondays to Fridays OR Tuesdays-Saturdays: 7:30-4:30 pm; (1-hour lunch break)
Note: Admin will need to cover Saturday if another staff member is out and would swap a day during the week
BENEFITS INCLUDE:
Paid Time Off (PTO) per calendar year (renews every Jan 1)
- Vacation days: 10 days
- Sick days: 2 days
- Holidays: 5 (4th of July, Thanksgiving, Christmas Eve, Christmas Day and New Year's Day)
Paid Time Off (PTO): PTO is earned based on a 40-hour workweek and prorated based on the start date. Vacation and sick days listed below will begin sixty (60) days after the start date.
Group Health & Vision Insurance- Fully paid by Employer. Begins the first day of the month following the start date.
