We have an exciting opportunity for you to join our team as Senior Associate – Entity Management Solutions. Reporting to the Manager, Entity Management Solution, this full-time and permanent position is based in the USA and offers regional coverage, allowing you to make a significant impact to our Operations services and it’s growth.
A typical Global Entity Management (EMS) client is a large corporation, with its group structure already established, covering multiple jurisdictions. The client requires assistance in ensuring its global group is and remains compliant with local laws. The focus is on company secretarial, corporate compliance and other such non-fiscal entity compliance and governance. Usual contact point is General Counsel/legal teams, Company Secretariat or for the smaller organisations the CEO or CFO.
The Senior Associate will help manage our clients’ portfolios across multiple markets, managing risk and ensuring compliance, whilst proactively identifying issues and developing client driven solutions.
The successful candidate will be required to demonstrate the following:
- A good understanding of the statutory features and service requirements across multiple jurisdictions.
- The ability to initiate all forms of communications and generate meetings where appropriate for new business or business development opportunities.
- The ability to build good client rapport through regular interactions with clients.
The Senior Associate will be responsible to:
- To proactively handle enquiries from international clients and colleagues alike to ensure that all new enquiries are dealt with promptly.
- To build rapport with senior stakeholders within the client leadership.
- To be active in developing customer relationships and be involved in the retention of Key Account Management relationships and participate in meetings with other prospective clients to develop and nurture new business.
- In support of client management, schedule, attend and minute the weekly client meetings and circulate the completed minutes to the appropriate principals.
- To set up and maintain the client environment within the Vistra global entity management application to provide transparency into the client task and compliance status across client requests.
- Ensure all new enquiries are entered into and maintained on the billing system and followed up and invoiced as necessary.
- To arrange for the notarisation and legalisation of documents where necessary and be aware of the capabilities of Vistra legalization services to support.
- To manage enquiries raised by our clients with our 3rd party partners and local Vistra offices to ensure timely completion of client requests.
- To proactively escalate matters with management where client deliverables may be at risk and identify possible solutions to be proposed to the client.

Relevant Experience
- Experience with communications to professional clients in an appropriate manner and in face-to-face meetings for the purposes of business development and/or key client management.
- Hold a level of knowledge and understanding for company secretarial matters for corporates with an international presence.
- Computer literate, Outlook, Word, Excel, Microsoft Teams.
- Able to develop good working relationships with all departments and teams within Vistra.
Education and Professional Qualification
- Educated to degree level or qualified through experience
- Experience of and/or qualifications in company secretarial or legal matters an advantage.

Pay: $50,000.00 - $55,000.00 per year
