We are looking for a successful and enthusiastic Event Planner to produce events from conception through to completion. Event Coordinator responsibilities include providing outstanding customer service and organizing memorable events that meet quality expectations.
Job Description: Top Duties and Qualifications
An event Coordinator, or Event Specialist, is responsible for overseeing particular tasks throughout the event planning process. Their duties include meeting with clients and vendors at the Vineyard location to perform set-up, running the events successful completion and clean up in preparation of the next event.
Duties and Responsibilities
The duties and responsibilities of an Event Coordinator center on planning and managing events of varying sizes and purposes. Coordinators have to understand what it takes to make sure the logistics work out, keep everything within the allocated budget and ensure that the event itself is carried our smoothly.
· Entering into event contracted and collecting payment on time maintain accounting of event revenue
· Remaining under budget with all costs
· Managing events and addressing potential problems that may arise.
· Planning for potential scenarios that could impact the integrity of the event and handle them with the grace and style
· Maintaining a working knowledge of the complex needs of a wide variety of events theme night, wine dinners, birthday parties , baby showers, and weddings
· Event planning, design and production while managing all project delivery elements within time limits
· Liaise with clients to identify their needs and to ensure customer satisfaction by responding to all calls and emails
· Provide feedback and periodic reports to the owners and marketing Director.
· Propose ideas to improve provided services and event quality
· Organize facilities and manage all events details such a décor, catering, entertainment, parking, lighting transportation, location, invitee list, special guests, equipment, etc
· Ensure compliance with insurance, legal, health and safety obligations
· Specify staff requirements and coordinate their activities and act as sole bartender or bar manager/ tender at larger events
· Cooperate with marketing and PR to promote and publicize events
· Proactively handle any arising issues to troubleshoot any emerging problems on the event day
· Conduct pre- and post- event evaluations and reports on outcomes meeting client in advance to layout the event
· Research market, identify event opportunities and generate interest attend trade shows, Bridal expos and event generation Expositions
· Responsible for maintaining all facilities on the event floor
· Sales skills and ability to build productive business relationships
· Maintain, stock, and account for all beer and wine inventor in the Event Facility
· Post on all social media in coordination with marketing event set up and event space before or during events where allowed
· Post on social media al upcoming ticketed events, general public events wine dinners and Brignole Vineyards sponsored events
Requirements
· Proven experience as an Event Planner or Organizer
· Impressive portfolio of previously managed events ( weddings, showers, meetings, parties, corporate events)
· Excellent time management and communication skills
· Ability to manage multiple projects independently
· MS Office proficiency
· Willing to submit references from previous clients
· A Bachelor’s degree in Event Management or related field
· Experience conducting planning sessions and manage time lines for all operating areas and clients
· Understanding of the Entertainment line of business
· Experience with Group & Convention contract management
· Secure stacks , cleans, and serves wine in the Event Venue
· Prepares financial report on events with the transaction coordinator
· Liaises with the marketing team to utilize the best marketing strategy for an event with regard to the purpose and venue of the venue, as well as its budget.
· Contact existing leads and secure new clients, answer all phone calls, and emails promptly
