**Job Summary** We are seeking a highly organized and detail-oriented Office Assistant to join our team. The ideal candidate will be responsible for providing administrative support to our construction office, ensuring that all daily tasks are completed efficiently and effectively. This role requires a strong focus on customer service, project coordination, and order entry. The successful candidate will be an excellent communicator and will have a professional demeanor in all interactions with patients and staff. **Duties** - Manage front desk operations, including answering and directing phone calls, responding to customer inquiries, and maintaining a warm and welcoming atmosphere for clients. - Assist with scheduling appointments and maintaining accurate calendars. - Provide exceptional customer service, ensuring that clients feel comfortable and cared for throughout their project. - Perform various administrative tasks, including order entry, data entry, and filing documents. - Assist with project coordination, including managing projects from start to finish and ensuring that deadlines are met. - Transcribe client records and maintain accurate and up-to-date files. - Handle phone systems and ensure that all messages and calls are handled in a professional and timely manner. - Maintain a clean and organized office environment, ensuring that all areas are tidy and well-maintained. **Requirements** - High school diploma or equivalent required. - Prior experience in a construction office or personal assistant role is preferred. - Strong customer service skills and a friendly demeanor. - Proficiency with project coordination and order entry. - Ability to transcribe clients records accurately. - Experience with calendar management and phone systems. - Excellent organizational and time management skills. - Ability to work in a fast-paced environment and adapt to changing priorities. - Strong communication skills and the ability to interact with clients and staff in a professional and courteous manner.
