Overview:
We are seeking a diligent and detail-oriented Administrative Assistant to support the operations of our IMLCA. The ideal candidate will be highly organized, possess excellent communication skills, and have a passion for supporting the growth and development of the Intercollegiate Men’s Lacrosse Coaches Association. This role will involve managing administrative tasks, assisting with event coordination, and providing general support to ensure the smooth functioning of the association. The person in this role will report directly to the Executive Director.
Responsibilities:
1. Administrative Support:
- Manage incoming emails, and inquiries, directing them to the appropriate staff members.
- Assist with the preparation of meeting agendas, take minutes, and distribute meeting notes to relevant stakeholders.
2. Event Coordination:
- Communicate with participants, volunteers, and vendors to ensure smooth event operations.
- Assist with onsite event management, including registration, setup, and cleanup.
- Work with the Director of Events as needed to ensure a successful Coaches and Players Summit as well as the Hall of Fame.
- Liaison with Player Summit
3. Membership Support:
- Manage membership databases, processing new registrations and renewals.
- Respond to membership inquiries and provide assistance with membership-related issues.
- Responsible for executing the All-Region Honors program with the Division III coaches that are on the committee.
- Collect list of honors from each conference
- Reformat all submissions into standard template (Name, position, year, school, conference honors received)
- Create Online Voting Link for each Region ( I have used typeform in the past, but there are plenty others available )
- Distribute links to D3 Coaches / Members of the IMLCA
- Provide updates to Region reps with list of all coaches, which still have outstanding votes
- Manually populate winners for each position of each region 1st Team, 2nd Team, HM
- Present data to Committee on full zoom meeting
- Review All-American, POY’s, COTY’s with committee
- Create social media graphics for honorees of each position in each region
- List honorees on IMLCA website
- Create press release and distribute to all AD’s and SID’s
- Roll out Social Media announcements in weeks designated by committee
- Submit honorees and artwork files to printer (I have used a local vendor in years past)
- Prepare, address, postage approximately 250 mailings in June to distribute.
4. Communication and Outreach:
- Assist with the development and distribution of promotional materials, including newsletters, social media posts, and press releases.
- Maintain the association's website and social media accounts, updating content as needed.
- Serve as a point of contact for media inquiries and coordinate interviews with association representatives.
5. Committee Operations
- Assist the Executive Director
- Schedule, document, execute action items and communications
- NCAA Related Committee
- Assist ED in executing action items and communication for Legislative Committee and SCR Committees.
Qualifications:
- High school diploma or equivalent; additional education or certification in administration or related field is a plus.
- Previous experience in an administrative role, preferably in a sports or non-profit organization.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Excellent organizational skills with the ability to multitask and prioritize tasks effectively.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of men's lacrosse and/or experience working in a sports-related environment is desirable but not required.
